The Receptionist’s job function is to primarily answer phone calls and direct customers to the correct department or person when they need assistance. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Requirements

  • Excellent communication and customer service skills.
  • Bi-lingual is always a plus.
  • Strong computer & phone skills.
  • Professional appearance and work ethic.
  • Self-motivated, goal oriented, and ability to work within a fast-paced environment.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite or related software.
  • Must have the ability to sit for long hours while working from a desktop computer, phone system, and various dealership specific software.
  • Must have ample dexterity to bend, reach, stretch, sit, stand, type, and lift up to 20 pounds.
  • High school diploma or equivalent
  • Must be able to pass a background check, drug screen, and Motor Vehicle Report.

Nice To Haves

  • Two to four years related experience and/or training preferred.

Responsibilities

  • Greets clients and determines the nature of their visit.
  • Notifies the appropriate person that a customer is waiting.
  • Answers incoming phone calls.
  • Directs caller to appropriate department or individual or takes a thorough message.
  • Communicates with callers and visitors in a professional, friendly, and efficient manner.
  • Provides directions to all our locations.
  • Communicates messages to the appropriate parties in a timely manner.
  • Stocks water and sodas for customers, makes coffee in the morning.
  • Keeps receptionists’ area clean and organized.
  • Sends out FedEx, USPS
  • Manages schedules for Conference Rooms. (this needs to be set up)
  • Coordinating lunch for meetings as requested
  • Informing the recipient of delivered packages
  • Signing for deliveries
  • Maintain and update employee contact list (GMs, Corporate, and frequent call transfers) - get info from HR
  • Restocking breakroom supplies
  • Prepare corporate employees birthday cards and celebration (needs to be set up)
  • Assists with clerical duties as requested.
  • Maintains a professional appearance.
  • Orders business cards and name tags for all employees
  • Audits vender website
  • Other tasks as assigned.
