About The Position

The Receptionist/Warranty Clerk Assistant will be responsible for answering service calls, scheduling service appointments, and addressing customer questions and needs. This role will also support the warranty department by ensuring accurate processing of claims.

Requirements

  • High school diploma or equivalent
  • Proficient in Microsoft Office, and data entry experience
  • Multi-line telephone experience
  • Professional appearance and disposition
  • Fluent in the English language
  • Strong listening skills
  • Excellent verbal and written communication skills
  • Must be able to convey messages to employees clearly and quickly

Responsibilities

  • Operate a multi-line phone system
  • Answer all incoming calls, ideally by the third ring with a friendly voice, polite, professional manner, and transfer them to the appropriate person or department quickly
  • Ensure that warranty claims are processed accurately in a timely manner
  • Reconcile warranty Repair Order written for proper completion according to the policies and procedures
  • Follow up with the factory and distributors regarding unpaid claims
  • Identify any issues with the processing of the claims
  • Report to management any fraudulent manipulation of warranty claims
  • Utilize all available information to ensure proper resolution of problems
  • Communicate with callers in an efficient manner, minimizing the time they are put on hold
  • Handle customer complaints effectively and direct the customer if required to the appropriate manager
  • Follows procedure for time clocks and ensures is properly clocking in and out of work daily
  • Prepare and submit claims for warranty to the manufacturer
  • Check vehicle’s service history to avoid duplicate Work Orders
  • Maintains professional appearance and neat work area
  • Keep up to date on all information pertinent (e.g., factory recalls, bulletins, etc.)
  • Attend training classes as directed by management
  • Perform other job-related duties as assigned by management
