About The Position

The TCIS Receptionist/Secretary is responsible for performing advanced-level secretarial duties for a Director-level administrator, requiring independent judgment and analysis. This role involves planning, organizing, and coordinating office activities and communications to relieve the administrator of routine administrative and clerical details. Key functions include answering phones, greeting and screening visitors, monitoring school cameras for safety, and nurturing a welcoming environment for staff and visitors.

Requirements

  • High school diploma, GED Certificate or demonstrated progress towards obtaining one.
  • Must meet the requirements of a criminal records check as specified by Kentucky State.
  • Must meet health requirements as specified in district personnel.
  • Valid Kentucky Driver's License.
  • Ability to work independently with little direction.
  • Ability to type at an acceptable rate of speed.
  • Ability to analyze situations accurately and adopt an effective course of action.
  • Ability to compose independently or from oral instructions letters, memos, bulletins or other material.
  • Ability to read, interpret, apply and explain rules, regulations, policies and procedures.
  • Ability to maintain records and prepare reports.
  • Ability to communicate effectively both orally and in writing.
  • Ability to meet schedules and time lines.
  • Ability to add, subtract, multiply and divide quickly and accurately.
  • Ability to establish and maintain cooperative and effective working relationships with others.
  • Ability to work confidentially with discretion.

Responsibilities

  • Perform advanced-level secretarial duties requiring independent judgment and analysis.
  • Plan, organize, and coordinate office activities and communications to relieve the administrator of routine administrative and clerical details.
  • Answer the phone and greet school visitors and screen them upon entry.
  • Actively be aware of building safety at all times by monitoring school cameras.
  • Help nurture a welcoming environment for staff and visitors.
  • Interview and screen callers and visitors, including students, teachers, administrators, parents, vendors and the public and provide information or direct to appropriate personnel.
  • Provide detailed and technical information concerning District policies, procedures and established regulations.
  • Communicate with parents and District personnel on confidential or sensitive issues; screen incoming calls to gather and exchange information.
  • Assure timely communications between office and District employees; make phone calls to receive and transmit information.
  • Type memos, bulletins, letters, and notices.
  • Prepare Board agenda items and related materials as assigned.
  • Compose correspondence or prepare from rough draft.
  • Coordinate communications between supervisor and other District staff and the public.
  • Complete payroll and attendance duties.
  • Operate office equipment including computers and assorted software programs.
