About The Position

Responsible for providing administrative and clerical support to staff members of the assigned department. This role requires flexibility to perform duties in the Mailroom and/or various Reception desks as needed. The position involves handling reception duties such as answering calls, greeting visitors, managing security access, issuing parking permits, accepting deliveries, and serving as a point of contact for vendors. Mailroom duties include preparing outgoing correspondence, sorting and routing incoming mail, operating high-speed scanning equipment, and inputting data into a computer terminal. The role also ensures compliance with applicable laws, regulations, and company policies, and requires participation in all required training.

Requirements

  • High School Diploma or G.E.D required
  • 1-2 years of related administrative experience
  • Proficiency with Microsoft Windows
  • Proficiency with Microsoft Office, Outlook, Word, Excel
  • Familiar with Workday, Passage point & Power Point
  • Proficiency in understanding and applying applicable elements of Fair Debt Collection Practices (FDCPA) and Fair Credit Reporting Act (FCRA) for tasks performed
  • Able to define problems, organize and collect data, establish facts, and draw valid conclusions
  • Must be legally authorized to work in the United States, and should not require, now or in the future, sponsorship for employment visa status.

Responsibilities

  • Maintains flexibility to perform duties in Mailroom and/or various Reception desks as needed
  • Answers and reroutes incoming calls/voicemail, greets and accepts visitors according to Intake Policy
  • Keeps, manages, and signs out security access badges according to Badge Policy
  • Issues temporary parking permits
  • Accepts and reroutes overnight deliveries according to Overnight Policy
  • Serves as a point of contact to vendors and processors
  • Prepares outgoing correspondence; opens, sorts and routes incoming mail. Locates and attaches appropriate files/documents to correspondence
  • Operates high speed slicing, scanning equipment
  • Operates computer terminal to input, manipulate, organize, and retrieve data
  • Ensures compliance with applicable laws, regulations, and company policies across areas of organizational responsibility
  • Participates in all required training and ensure compliance with training and regulatory requirements across areas of organizational responsibility.
  • Identify violations of FDCPA, FCRA or other company policies and practices to keep supervisor advised of potential acts that may result in litigation against the company.
