Requirements

  • High school diploma or equivalent, required.
  • Strong verbal and written communication skills with a customer-service-focused approach.
  • Ability to work effectively in a fast-paced environment while managing multiple priorities.
  • Critical-thinking skills, sound judgment, and the ability to take appropriate action with minimal supervision.
  • Willingness and ability to learn new processes and adapt quickly to different clinic environments, specialties, providers, and workflows.
  • Dependable and flexible, with the ability to provide coverage at different physician-practice locations based on staffing needs.
  • Comfortable working directly with patients and providing professional, courteous service.
  • Ability to maintain confidentiality and appropriately handle sensitive patient and organizational information.

Nice To Haves

  • Previous medical office, physician-practice, reception, administrative, or customer-service experience.
  • Previous experience with an electronic medical record (EMR), patient scheduling, or registration system.

Responsibilities

  • Serve as a welcoming first point of contact for patients, visitors, providers, and other members of the healthcare team.
  • Greet and assist patients with check-in and check-out, ensuring demographic and other required information is accurate and up to date.
  • Schedule patient appointments and assist with coordinating appointments based on clinic and provider availability.
  • Answer incoming phone calls, route calls and messages appropriately, and respond to general patient inquiries.
  • Verify insurance information and assist with other registration-related activities as needed.
  • Collect copays and other patient payments and complete applicable payment documentation.
  • Assist with referrals, medical records, and other administrative or clerical needs of the practice.
  • Maintain accurate patient and office information within applicable electronic systems and databases.
  • Prepare, scan, fax, copy, file, and distribute documents and correspondence as needed.
  • Provide reception and administrative coverage across multiple physician practices and adapt to the workflows, providers, and patient populations of each location.
  • Maintain an organized and professional front-office environment and assist with monitoring office supplies.
  • Communicate effectively with patients, providers, clinic staff, and other departments to support efficient clinic operations.
  • Maintain patient confidentiality and follow organizational policies and procedures.
  • Perform other duties as assigned based on the needs of the clinic.
