About The Position

The primary responsibilities of the Medical Receptionist include welcoming and greeting patients and visitors, managing phone calls, maintaining the reception area, registering new patients, facilitating patient flow, protecting patient confidentiality, handling correspondence, scheduling appointments, providing patient portal support, and other assigned duties.

Requirements

  • Proficiency in using AIDET.
  • Ability to answer phones politely and courteously.
  • Skill in processing phone messages and relaying them appropriately.
  • Capability to screen and transfer calls.
  • Responsibility for maintaining a clean and organized reception area.
  • Experience in registering new patients and updating existing patient demographics.
  • Skill in collecting detailed patient information, including personal and financial data.
  • Ability to obtain pertinent registration information and document patient identity.
  • Experience in assembling patient medical record forms and preparing patient identification.
  • Capability to notify medical assistants of patient arrivals and manage patient flow.
  • Awareness of delays and communication with patients and clinical staff.
  • Understanding of patient confidentiality and securing protected health information (PHI).
  • Knowledge of logging off computers when unattended.
  • Adherence to medical-legal requirements for correspondence and inquiries.
  • Ability to maintain and control the release of information to authorized persons.
  • Skill in preparing records of correspondence.
  • Experience in scheduling outpatient and procedure appointments.
  • Patient Portal Support.
  • Proficiency in using eCW telephone encounter for patient communication.
  • Ability to review future schedules for account completion.
  • Experience in checking patients out and collecting copays, balances, and payment plans.
  • Skill in routing incoming faxes.
  • Ability to track outgoing referrals.
  • Capability to provide backup for Office Assistant.
  • Timely action maintaining eCW “Jelly Beans”.
  • Responsibility for monitoring the patient cancellation list.

Responsibilities

  • Welcomes and greets all patients and visitors in person and over the phone, utilizing AIDET.
  • Answers the phone in a polite and courteous manner.
  • Process phone messages and relays to appropriate staff person or provider.
  • Screens and transfer calls accordingly.
  • Responsible for keeping the reception area clean and organized.
  • Registers new patients and updates existing patient demographics by collecting detailed patient information including appropriate forms, personal and financial information.
  • Assists in obtaining pertinent information to register patient and attaches proper means to document patient identity.
  • Assembles patient medical record forms and prepares patient identification.
  • Facilitates patient flow by notifying the medical assistant of patient’s arrival, being aware of delays, and communicating with patients and clinical staff.
  • Protects patient’s confidentiality, making sure protected health information is secured by not leaving PHI in plain sight and logging off the computer before leaving it unattended.
  • Adheres to medical-legal requirements when answering correspondence and inquiries.
  • Maintains and controls the release of information to authorized persons only.
  • Prepares records of correspondence according to clinic needs.
  • Schedule outpatient appointments and procedure appointments.
  • Patient Portal Support.
  • Use eCW telephone encounter for patient communication.
  • Review future schedules for account completion.
  • Checks patients out and collects copays, balances and payment plans.
  • Facilitates the staff routing of incoming faxes appropriately.
