About The Position

As the first point of contact for CLARK Material Handling Company, the Receptionist/Clerical Assistant provides exceptional customer service to visitors and callers. This role ensures a professional first impression while delivering vital administrative and data entry support to executives and various departments.

Requirements

  • Technical Skills: Proficiency in Microsoft Office Suite and accurate 10-key data entry.
  • Organization: Highly organized with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Discretion: Demonstrated ability to handle sensitive and confidential information with integrity.
  • Legal: Must be authorized to work in the U.S. indefinitely.

Responsibilities

  • Front Desk Management: Greet and process visitors, maintaining a professional and welcoming lobby environment.
  • Communications: Manage high-volume multi-line phone systems; screen and route calls, take accurate messages, and provide general organizational information.
  • Executive Support: Assist leadership with expense reports, scheduling, and specialized clerical tasks.
  • Departmental Assistance: Provide administrative support across departments, including data entry, document preparation, and spreadsheet maintenance.
  • Event Coordination: Book conference rooms and coordinate catering; assist in the planning and execution of employee engagement events.
  • Volunteer Program: Lead the Corporate Volunteer Program by organizing events and tracking/reporting participation.
  • Facilities & Supplies: Manage inventory and procurement for office, janitorial, and breakroom supplies; serve as the primary point of contact for facility vendors.
  • Internal Communications: Maintain the company events calendar and employee portal; create and distribute newsletters and employee photos.
  • HR Support: Assist with recruiting, onboarding tasks, and mailroom operations as needed.
  • Operational Excellence: Maintain strict confidentiality, ensure data accuracy, and resolve administrative discrepancies promptly.
