About The Position

Join Quinault Wellness Center as a Part-Time Receptionist / Child Care Provider and become an important part of creating a welcoming, supportive experience for the individuals and families we serve. This position provides professional front-desk support while also providing backup coverage in our Child Watch area when needed. Working Tuesday through Saturday mornings, you will greet patients, answer phones, assist with registration and appointment scheduling, maintain accurate information in our electronic health record, and provide other routine administrative support. When Child Watch coverage is needed, you will transition to the childcare area to provide attentive, safe, and age-appropriate supervision for children whose parents or guardians are receiving services at Quinault Wellness Center. The ideal candidate is dependable, organized, friendly, and comfortable working in a busy healthcare environment where priorities can change throughout the morning. You should enjoy helping people, communicate professionally with both adults and children, and be able to move smoothly between reception and Child Watch responsibilities.

Requirements

  • High school diploma or GED equivalent.
  • At least one (1) year of experience in reception, customer service, administrative support, childcare, or a related field.
  • At least one (1) year of experience using an Electronic Health Record (EHR), Electronic Medical Record (EMR), or similar electronic registration/scheduling system, or demonstrated ability to learn electronic systems.
  • Strong customer service, communication, organizational, and multitasking skills.
  • Ability to work professionally and respectfully with patients, families, children, coworkers, and visitors.
  • Ability to supervise and interact appropriately with children of varying ages and developmental needs.
  • Ability to maintain continuous awareness and appropriate supervision when caring for multiple children.
  • Ability to remain calm, patient, and professional when responding to challenging or changing situations.
  • Ability to maintain strict confidentiality and comply with HIPAA, PHI, 42 CFR Part 2 when applicable, and applicable confidentiality requirements.
  • Basic computer skills and ability to use standard office equipment, electronic records, telephones, printers, and scanners.
  • Ability to learn and follow established reception, registration, scheduling, Child Watch, safety, emergency, and sanitation procedures.
  • Ability to frequently stand, walk, bend, kneel, squat, reach, and sit or work at a child's level.
  • Ability to occasionally lift or carry up to 25 pounds, including assisting children as appropriate.
  • Ability to maintain regular and dependable attendance and consistently work the assigned Tuesday through Saturday morning schedule.
  • Must successfully complete required background checks and all required organizational and childcare safety training.
  • Must obtain and maintain required pediatric CPR certification.

Nice To Haves

  • Previous healthcare, behavioral health, substance use disorder treatment, or childcare experience is preferred.
  • Previous experience working with children in a professional or licensed childcare setting is preferred.
  • Bilingual or multilingual skills, including Spanish, are desirable.
  • Ability to work respectfully in a cross-cultural healthcare environment and support the mission and values of Quinault Community Health and Quinault Wellness Center.

Responsibilities

  • Welcome patients, clients, children, parents, guardians, and visitors in a friendly, professional, and culturally respectful manner.
  • Answer and direct telephone calls, take messages, respond to voicemails, and route questions to the appropriate staff.
  • Assist with patient registration, demographic updates, appointment scheduling, confirmations, and routine administrative needs.
  • Use the electronic health record and other electronic systems to enter and maintain accurate information.
  • Assist with scanning, filing, faxing, printing, payment processing, and other front-desk duties.
  • Provide routine information about established services and direct clinical, financial, or specialized questions to the appropriate staff.
  • Maintain a welcoming, organized, and professional reception area.
  • Provide backup coverage in the Child Watch area based on staffing and operational needs.
  • Provide attentive and active supervision of children of varying ages while their parents or guardians receive services.
  • Maintain a safe, clean, organized, and welcoming Child Watch environment.
  • Follow established child check-in, check-out, identification, attendance, safety, emergency, and incident-reporting procedures.
  • Engage children in age-appropriate activities and interactions that support a positive and supportive environment.
  • Communicate appropriately with parents or guardians regarding routine childcare matters and promptly report illness, injury, safety concerns, or other significant issues.
  • Maintain confidentiality of patient, child, and family information and follow HIPAA, PHI, 42 CFR Part 2 when applicable, and organizational requirements.
  • Follow infection prevention, sanitation, safety, and child protection procedures.
  • Maintain dependable attendance and punctuality for the assigned Tuesday–Saturday morning schedule.
  • Participate in required training, cross-training, and other activities necessary to support effective operations.
  • Perform other duties within the scope of the position as assigned.
