About The Position

This part-time position is responsible for performing a variety of clerical support work including routine typing, filing, and photocopying. The role involves answering the telephone, providing general information, and processing mail. Additionally, the position will assist with managing seasonal volunteer applications and may provide administrative support for social services programs in the absence of a dedicated assistant. Duties include typing standard departmental documents, proofreading for accuracy, and operating general office equipment.

Requirements

  • High school diploma or G.E.D.
  • One year of administrative/secretarial experience.
  • Ability to meet attendance requirements.
  • Ability to read, write, and communicate the English language.
  • Ability to type and keypunch information into a computer.
  • Ability to answer the telephone in a courteous and tactful manner.
  • Valid Driver’s License and must meet TSA MVR Requirements
  • Bilingual proficiency in Spanish and English required

Responsibilities

  • Perform a variety of clerical support work including routine typing, filing, and photocopying of reoccurring correspondence, forms, lists, logs, records etc.
  • Answer the telephone and provide general information regarding department operations and/or services.
  • Process incoming and outgoing mail.
  • Assist with managing seasonal Christmas Bell Ringer volunteer applications.
  • In the absence of social services program assistance, may be required to assist with administrative social services programs.
  • Answers telephone in a courteous and tactful manner.
  • Schedules donation pick-ups.
  • Provides accurate and complete information regarding the operations and/or services.
  • Attempts to resolve complaints in a calm, courteous, and tactful manner.
  • May assist with collecting documentation from clients, scheduling appointments, documenting pledges, and other administrative duties.
  • Perform routine typing of standard departmental documents, cards, and labels with little or no deviation from established methods and procedures.
  • Proof-reads documents for accuracy and completeness before completing one project and going on to another project.
  • Operate various general office equipment including a computer, photocopy machine, typewriter, facsimile, calculator.
  • Sort and file items alphabetically and numerically.
