Requirements

  • Prior receptionist, administrative assistant, or client service experience preferred.
  • Professional, personable, and comfortable serving as the first point of contact for clients and visitors.
  • Strong communication skills, including the ability to take clear messages and interact effectively by phone, text, email, and in person.
  • Comfortable using Microsoft Office, email, calendars, printers, scanners, and general office technology.
  • Ability to learn and use CRM systems and client communication tools.
  • Strong organizational skills with excellent attention to detail.
  • Ability to support multiple representatives and staff members while managing competing priorities.

Nice To Haves

  • Ability to create, organize, and prepare meeting materials.
  • Experience pulling client statements and supporting basic account-related documentation.
  • Comfort documenting case notes and client tasks within a CRM system.
  • Basic understanding of financial statements, accounts, and client service workflows in a financial services environment.
  • Willingness and ability to assist staff with projects as needed.

Responsibilities

  • Answer inbound phone calls, route calls appropriately, and take accurate messages.
  • Schedule and confirm client appointments, including use of texting software such as MyRepChat.
  • Manage calendars and coordinate appointment logistics for representatives and staff.
  • Create future tasks for client return visits and follow-up activities.
  • Update and maintain CRM records to document calls, messages, appointments, tasks, and client interactions.
  • Greet clients in the lobby with professionalism, warmth, and a service-oriented mindset.
  • Use Microsoft Office and related office tools for email, faxing, printing, basic document handling, and administrative support.
  • Order, organize, and maintain office supplies.
  • Carry out scanning, mailing, and other document-processing tasks as needed.
  • Maintain a proactive approach to learning new systems, processes, and responsibilities.
  • Stay highly organized and ensure accuracy and attention to detail in all administrative work.
