As our Purchasing & Receiving Manager, you’ll lead the team that keeps products moving accurately and efficiently throughout our resort and club operations. From purchase orders and deliveries to inventory and distribution, you’ll help ensure our teams have what they need, when they need it. Requirements

Two or more years of hands-on purchasing & receiving experience including supervision of a team.
Familiarity with procurement systems; past hands-on experience with BirchStreet software a plus.
Strong organizational, communication and interpersonal skills.
Proficiency with Microsoft Office and inventory management software (BirchStreet preferred)
Ability to work with minimal supervision while prioritizing, assigning and organizing work assignments, including remaining calm in a fast-paced environment.
Ability to work cohesively with other departments as part of a team.
Ability to interpret documentation accurately and to write clearly and concise; keep legible logs and files.
A valid driver’s license and clean driving record.
Ability to push a cart / dolly weighing up to 50 pounds; lift and move up to 40 pounds, including storing in overhead areas; bend, squat, kneel, climb, and reach, coupled with standing and walking continuously.

Previous experience in hospitality or food service distribution is a plus, but not required.

Responsibilities

Lead day-to-day shipping and receiving operations for shore lodge whitetail club, ensuring products are received, documented, stored, and distributed accurately and efficiently.
Supervise and support the receiving team by coordinating daily priorities, assigning responsibilities, maintaining a safe work environment, and assisting with the training and development of team members.
Coordinate scheduled deliveries by reviewing BirchStreet purchase orders and maintaining an accurate open PO list for upcoming, partial, and outstanding orders.
Receive and verify incoming deliveries against purchase orders and supporting documentation, confirming product, quantity, pack size, quality, pricing, and condition.
Identify and resolve shortages, overages, substitutions, damaged products, missing purchase orders, and other receiving discrepancies in partnership with vendors, drivers, department leaders, culinary, and accounting.
Complete receiving transactions accurately in BirchStreet, including partial receipts and internal requisitions, while maintaining clear documentation for outstanding orders, inventory transfers, and month-end accruals.
Oversee the breakdown, organization, staging, first-in, first-out rotation, and timely distribution of incoming products to the appropriate department, storeroom, or operating location.
Coordinate the movement and transfer of food & beverage and non-food & beverage inventory, ensuring products remain secure and under receiving control until properly transferred and documented.
Maintain appropriate controls for beer, wine, liquor, and other controlled food & beverage inventory, ensuring secure storage and accurate documentation of all product movement.
Serve as the primary point of contact for paper/chemical purchasing and inventory, including creating purchase orders, placing approved orders, maintaining appropriate par levels, receiving products, and identifying opportunities for centralized inventory management.
Conduct delivery and documentation spot checks, maintain accurate receiving and inventory records, and research discrepancies to support strong operational and financial controls.
Partner closely with accounting and operating departments to ensure accurate inventory transactions, timely submission of invoices and receiving documentation, and resolution of reconciliation or variance issues.
Participate in physical inventory counts and month-end processes, assisting food & beverage leadership and accounting with inventory reconciliation, accruals, and variance research.
Support established purchasing and separation-of-duties controls by verifying what was ordered and physically received while partnering with department leaders and accounting on authorization, reconciliation, and payment processes.
Step into hands-on receiving responsibilities as needed to support team coverage and ensure all incoming and outgoing merchandise remains properly documented and traceable.
Contribute to special projects and operational initiatives that improve receiving, inventory control, organization, and overall departmental efficiency.
