About The Position

This position involves developing and implementing real property and facilities inventory systems, administering and coordinating contracts related to the use of city-owned facilities, and preparing specifications for contract negotiation and processing associated paperwork. The role works under general supervision and may involve independent responsibility for an assigned function or program.

Requirements

  • Knowledge of all applicable laws, ordinances, policies, standards and regulations pertaining to the specific duties and responsibilities of the job and knowledge of inventory practices and procedures.
  • Knowledge of commercial property management principles and practices, including general management skills to manage real property assets.
  • Detail-oriented and organized.
  • Excellent interpersonal skills with good customer service skills, able to communicate and interact with tenants, vendors, contractors, elected officials, management, employees, members of the public.
  • Excellent verbal and written communication skills.
  • Ability to draft lease agreements.
  • Must be able to make recommendations based on findings.
  • Must be able to apply sound, professional logic to a wide range of situations, including emergencies, and initiate solutions accordingly to include taking necessary remedial actions.
  • Ability to read, understand and interpret financial reports and related materials and assemble information and make written reports and documents in a concise, clear and effective manner.
  • High school diploma or General Equivalency Diploma (GED).
  • 2 years of progressively responsible commercial property management experience or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Valid Driver’s License

Responsibilities

  • Oversee and operate neighborhood centers and other city facilities assigned.
  • Tour property and grounds daily to ensure cleanliness and that equipment and life safety systems are operational.
  • Request and schedule property-related maintenance to ensure all equipment systems are operational and maintained properly.
  • Submit work order requests using the Maximo system.
  • Provide potential tenants with leasing information and a tour of the facilities and available space.
  • Consult with prospective tenants to verify 501c3 status, if applicable, registration with the Georgia Secretary of State Office, required licensing, financials, rental history, and references.
  • Prepare proper paperwork and lease agreements for review and approval; obtain signatures from management and tenants.
  • Coordinate move-in/move-out dates, materials, and processes.
  • Schedule and manage the use of shared facilities, such as meeting rooms or multipurpose rooms.
  • Collect deposits and rental payments from tenants.
  • Provide monthly financial reports for the neighborhood centers and other city facilities, if assigned.
  • Maintain record files on contracts, lease agreements, amendments, bookkeeping records, and other paperwork required.
  • Prepare amendments, contracts, and legislative documents regarding assigned city properties and related matters, including typing, reviewing, photocopying and distributing to appropriate personnel and/or departments.
  • Provide administrative support in the development and implementation of a comprehensive real property and facilities inventory system.
  • May perform other duties as assigned.
