About The Position

The Wounded Warrior Project (WWP) Real Estate and Workplace Project Specialist plays a key role in the planning, coordination, and execution of workplace and construction projects across the organization’s real estate portfolio. This position supports the Senior Real Estate and Workplace Lead by translating approved strategies, designs, and plans into actionable project deliverables. The Real Estate and Workplace Project Specialist is responsible for day-to-day project coordination, vendor management, schedule and budget tracking, design documentation, and on-site execution support for renovations, relocations, expansions, and capital improvement projects.

Requirements

• Demonstrated ability to read and interpret floor plans and construction drawings.
• Working understanding of construction process phases, including preliminary design, construction document preparation, construction administration, and project closeout.
• Proficient in using AutoCAD design and drafting technology.
• Strong project management skills, including the ability to manage multiple complex projects simultaneously and deliver results on time and within budget.
• Strong organizational and time management skills, with a demonstrated ability to be flexible, adapt to changing priorities, and meet deadlines.
• Excellent written and verbal communication skills.

• Three years of experience in workplace planning, space planning, real estate support, construction management, or a related field, including exposure to project coordination.
• Three years of experience using AutoCAD design and drafting technology.
• Valid state-issued driver’s license.
• Bachelor’s degree in real estate, facilities management, architecture, construction management, or related field. Equivalent combination of applicable education, training, certification, and experience may be considered in lieu of degree.

Responsibilities

• Support the execution of workplace and construction projects, including office renovations, relocations, expansions, and capital improvements.
• Coordinate project schedules, milestones, deliverables, documentation, and status reporting in partnership with the Senior Real Estate & Workplace Lead to ensure projects are delivered on time, within budget, and with clear leadership visibility.
• Assist with procurement activities, including vendor onboarding, contract administration, purchase orders, and invoice review.
• Track project budgets and expenses, flag variances, and support cost-control efforts.
• Coordinate move management, space requests, and workplace initiatives related to hybrid work, space sharing, employee experience, and the integration of WWP branding, graphics, and wayfinding elements, ensuring alignment with established standards and approved plans.
• Develop and maintain test fits, space plans, floor plans, elevations, and workplace layouts using AutoCAD; support the selection and documentation of interior finishes, furniture, fixtures, and materials; track seating, occupancy, and utilization data; and support portfolio-wide space planning analysis and reporting.
• Support design and document coordination across architects, engineers, contractors, IT, security, and internal stakeholders, including the review of architectural drawings, construction documents, shop drawings, product submittals, material samples, and consultant deliverables to ensure alignment with design intent, standards, and specifications.
• Serve as the day-to-day point of contact for vendors, contractors, furniture dealers, and consultants, supporting RFPs, vendor evaluations, construction administration, site visits, issue tracking, punch lists, and closeout documentation.
• Ensure projects follow organizational standards, safety requirements, sustainability goals, and applicable building codes.
• Support the continuous improvement of workplace processes, templates, and documentation.
• Coordinate with internal stakeholders across departments to ensure alignment, clear communication, and minimal disruption during projects.
• Attend and actively participate in required training and/or meetings, including but not limited to New Teammate Orientation, WWP Cares, ASIST Suicide Prevention training, Leadership training, culture/team based training, or departmental huddles.
• Other related duties as assigned.
