About The Position

This position will assist the Office of Resiliency and Clinical Preparedness (RCP) in overall project development and management for system-level projects assigned to the department. The Office of Resiliency and Clinical Preparedness has responsibility for better preparing the organization to maintain a state of acute and ongoing operational readiness, integration of the health system with state and local public health agencies and managing emerging initiatives and issues across the West Virginia University Health System (WVUHS). The position will also be responsible for facilitating the enterprise Affinity Groups including scheduling meetings, minute taking, and project management. This position also provides administrative support for the System Incident Command Center (SICC).

Requirements

  • Bachelor’s Degree
  • Three (3) years’ administrative experience in a hospital environment.
  • Completion of FEMA ICS 100, 200, 700, and 800 courses
  • Completion of Homeland Security Exercise and Evaluation Program
  • Must have manual dexterity to operate keyboards, telephones, and other business equipment
  • Ability to sit for extended periods of time.
  • Long periods of standing or walking may be necessary
  • Some travel to other entities may be required.
  • Excellent oral and written communication skills.
  • Demonstrates collaboration skills and techniques and builds positive relationships.
  • Strong computer and organizational skills.
  • Ability to problem solve and make appropriate decisions.
  • Proficient in Microsoft Office software.
  • Ability to build credibility, trust, and rapport with stakeholders on all levels, both within and outside the organization.

Nice To Haves

  • Master’s Degree in Business Administration, Healthcare Management, Public Health, or other related healthcare field.
  • FEMA ICS 300, 400 completion
  • Project management experience.
  • Experience in an academic medical center environment and/or large healthcare system.
  • Demonstrated knowledge of emergency management principles.

Responsibilities

  • Provides project management coordination and support for projects and their activities including, but not limited to, determining the plan schedule of deadlines and project completion, developing action plans, and coordinates the implementation and completion in collation with appropriate internal and external parties.
  • Ensures project plans are accurately captured and documented for monitoring and tracking of each initiative’s progress.
  • Assures designated system level projects are proceeding according to agreed upon timelines, meeting targets and expectations, and adhering to established operating parameters.
  • Available to respond to emergent incidents across the health system at any given time.
  • Develops event and project proposals and budgets.
  • Identifies standardization and process improvement techniques and assists in implementation.
  • Oversees the development and communication of policies and procedures related to the project.
  • Facilitates and coordinates system-level Affinity Groups.
  • Provides support for System Incident Command Center (SICC).
  • Collects information and creates reports from established data and/or departments.
  • Establishes and maintains office files and records, and assembles these from other sources, including the maintenance of facility binders for SICC.
  • Conducts research for RCP on best practices, industry standards, case studies and grant/funding opportunities.
  • Responsible for effective communication and regular reports of project status including and not limited to independently representing executives in planning, operational meetings, activities, and decisions.
  • Coordinates and identifies educational and training opportunities.
  • Develops proficiency in all technology systems used by RCP and helps provide technical support to internal stakeholders for these systems.
  • Coordinates events to promoting RCP and continuing education opportunities.
  • Conducts assessments and identifies opportunities for inter-related program components in an effort to avoid duplication and reduce unnecessary expenditure.
  • Works with different departments and hospitals in WVU Medicine healthcare system and all levels of staff to adequately prepare for each activity or program.
  • Supports program activities which may include gathering required resources to support special events, collecting information for/at event, coordinating logistics and conducting event follow-up.
  • Assists in the review of policies, procedures, and learning modules owned by RCP.
  • Provides training and education on various programs throughout the system.
  • Coordinates and facilitates system level committees and taskforces on various initiatives.
