About The Position

The Radiology Services Specialist (RSS) is primarily responsible for providing quality customer service and financial guidance to patients. Daily duties include greeting patients, collecting demographics, verifying insurance information, and scheduling appointments. The RSS is also responsible for obtaining and managing prior authorizations for all on-site radiology services. This role acts as a liaison between the patient and the practice, communicating financial responsibilities, ensuring benefits are documented in the EMR and billing software, coordinating payments, monitoring patient balances, and streamlining financial communication. The RSS ensures patients' insurance benefits are up-to-date in the EMR and billing software and verifies that services meet insurance coverage appropriateness.

Requirements

  • High school Diploma or GED required.
  • A minimum of two-years prior experience in the healthcare field required, preferably in a Radiology clinic.
  • Patient financial background.
  • Patient/Customer focused.
  • Prior Medical terminology required.
  • ICD9, ICD10 and CPT codes.
  • Prior experience verifying patient Medical insurance.
  • Prior experience verifying pre-certification and/or prior authorization with medical insurance.
  • EMR background required.
  • Prior Cash handling and monetary collection experience.
  • Experience calculating and collecting patients’ responsibility and insurance co-pay/coinsurance.
  • Excellent proven verbal and communication skills needed.
  • Attention to detail with strong ability to multitask.
  • Excellent interpersonal skills.
  • Critical thinking skills including solid problem solving, analysis, decision-making, planning, time management and organizational skills.
  • Must be detailed oriented with the ability to exercise independent judgment.

Responsibilities

  • Scheduling Radiology appointments and maintaining all future schedules to adhere to radiology scheduling criteria.
  • Accurately and promptly checking in patients per clinic policy, collecting and documenting payments, verifying demographic information including identification, chart photo, and insurance.
  • Preparing the clinic daily close deposit and documents.
  • Monitoring and coordinating internally and externally with the insurance company on the pre-certification and prior authorization processes, including peer-to-peer reviews and appeals, seeking support from the provider or pharmacy team when applicable.
  • Reviewing scheduled visits to identify active insurance benefit coverage and patient fiscal responsibility, explaining insurance benefits and fiscal responsibility to the patient.
  • Communicating all unplanned exceptions to the provider immediately.
  • Obtaining necessary information from the patient for assistance income guidelines, if applicable.
  • Explaining forms and paperwork needed, such as waivers and treatment estimates.
  • Communicating openly and routinely with providers, nursing staff, PSS staff, UM team, and coworkers through Teams, phone calls, emails, and in person to discuss fiscal responsibility and other items as needed.
  • Providing support and understanding to patients and their caregivers to create a friendly and welcoming environment.
  • Answering telephones promptly and routing calls or documenting messages, including voicemails, as appropriate within the EMR.
  • Activating and deactivating the answering service as required for clinic hours.
  • Understanding and following the policy for emergency calls.
  • Performing the tasks of other patient services specialist stations that the employee has been trained on.
  • Covering other stations for absences, lunches, vacations, etc.
  • Complying with all Federal and State laws and regulations pertaining to patient care, patients’ rights, safety, billing, privacy, and collections.
  • Adhering to all AON and departmental policies and procedures, including IT policies and procedures and disaster recovery plan.
  • Assisting in training other AON employees.
  • Keeping work area and records in a neat and orderly manner.
  • Maintaining all company equipment in a safe and working order.
  • Maintaining and ensuring the confidentiality of all patient and employee information at all times in accordance with policy and HIPAA regulations.
  • Working at any AON location to help meet AON business needs.
  • Working closely with outside entities to ensure full collaboration and completion of forms and items needed in a timely and sometimes urgent manner.
  • Assisting patient(s) with completing necessary paperwork for assistance and other grant-funded programs to secure financial aid for treatment and services.
  • Having an understanding of patient assistance programs and grant services processes to ensure adequate application, placement, and coordination with the financial aid counseling team.
  • Understanding and complying with all Federal and State laws and regulations pertaining to patient care, rights, safety, billing, and collections.
