About The Position

The Radiology Information Systems Quality Support Coordinator at Advocate Trinity Hospital is responsible for analyzing Radiology Information System (RIS) data, generating reports for process improvement, and providing departmental statistics. This role involves monitoring RIS functions, developing and implementing new features, and coordinating with various interdepartmental users including Unit Secretaries, Technologists, and Radiologists. Key duties include maintaining procedure and supply listings, managing user access, acting as a Master Trainer for CERNER Radnet, and assisting with charge reconciliation in RIS/Allegra systems. The coordinator also participates in the planning, management, implementation, and evaluation of Picture Archiving and Communication Systems (PACS) operations, troubleshooting system issues, ensuring data accuracy, and reviewing system performance. A central aspect of the role is serving as the primary contact for Help Desk requests, resolving problems, establishing downtime procedures, and providing necessary training. Additionally, the coordinator must be prepared to act as a Radiology Tech during departmental shortages and adhere to patient safety protocols.

Requirements

  • Associates degree in Computer Science or Health Science
  • Basic knowledge of computer systems
  • 3-5 years radiology experience
  • Good knowledge of computer and networking applications
  • Good written and oral communication skills
  • Good understanding of the clinical and operational environment of a hospital
  • A.R.R.T. Registered
  • I.D.N.S. Licensure

Responsibilities

  • Analyzes Radiology Information System data, providing reporting tools for process study, CQI, and departmental statistics for examining specific issues with departmental operations.
  • Runs custom reports according to the frequency specified on report request forms.
  • Provides reports from RIS for Director/Radiologist as requested.
  • Assists department managers in work process evaluation to determine the type of report or export needed.
  • Consults with the requester when the report is complete to determine if specifications have been met and makes any necessary changes.
  • Provides department directors with custom productivity reports and statistics including monthly exam totals and report turnaround times.
  • Supports Radiology Information System (RIS) in providing results of Diagnostic Imaging exams to physicians.
  • Monitors current RIS functions and procedures for operation as designed.
  • Builds, develops, trains and implements additional RIS functions/features and monitors use.
  • Coordinates interdepartmental RIS users (Unit Secretaries, ER/OP clerks, Transcriptionists, Technologists, Radiology Clerks, Radiologists, HIS staff and Risk Management).
  • Monitors Radiology charges (go to person for proper charging).
  • Attends meetings as requested.
  • Becomes the liaison/trainer for the Radiologist on the existing web server.
  • Provides assistance in Department CQI activities.
  • Rectifies unmerged reports within Powerscribe, Radiologist Dictation System.
  • Acts as Powerscribe site Liaison.
  • Performs Database maintenance, updates, accurate patient and physician information, ensuring proper patient billing, and guaranteeing appropriate system user access for all departmental staff.
  • Assists in exams and patient merging within PACS system.
  • Builds procedures within PACS.
  • Maintains the procedure and supply listing by entering new procedures and supplies, makes updates when necessary, coordinates procedure activation with the Finance and I.S. departments and file development with corporate.
  • Assigns sign-on and passwords for new users.
  • Prepares a user profile sheet for all new users listing their assigned access codes.
  • Serves as the point of contact and Master Trainer for CERNER Radnet to communicate any system changes, and communicates pertinent changes in the RIS system to the Supervisors/Chief Techs.
  • Updates system to include removal of passwords and old charges.
  • Acts as point person for charge reconciliation when need arises in RIS/Allegra systems (Batch Charge Rectification).
  • Participates with the planning, management, implementation and evaluation of operations/services as related to PACS to insure quality cost effectiveness.
  • Assists with prioritizing and facilitation of the ongoing professional development of hospital associates and physicians as it pertains to PACS.
  • Responsible for troubleshooting and testing system and network problems.
  • Acts as site's first pass for system problems prior to issue escalation.
  • Assists in ensuring accuracy of system database and maintains updated records.
  • Assists with the management and review of system performance, utilization, error log, and functionality reports.
  • Monitors DI system production interfaces directly.
  • Acts as the central point for Help Desk requests and assists Diagnostic Services and Cardiac Supervisors/Chief Techs in evaluating, servicing, and ensuring the timely resolution of all information system related problems/issues.
  • Determines the priority of each Help Desk call, resolves the problem or assigns the call to the appropriate resource.
  • Establishes/maintains/communicates proper downtime procedures.
  • Assists in training as needed.
  • Provides assistance to department Supervisors/Chief Techs for problem resolution.
  • Communicates all scheduled and non-scheduled downtime on all systems.
  • Be able to act in the position of Radiology Tech whenever there is a severe shortage within the department.
  • Report patient safety events and near misses in timely fashion.
  • Adhere to all behavioral and procedural patient safety practices.
  • Promote culture of safety through identifying threats to patient safety and intervening to prevent patient harm.
  • Communicate openly and promote team work.
  • Report intimidating behavior and other threats to patient safety promptly.
