About The Position

This is a part-time, PRN (as needed) position in the Radiation Oncology department at Advocate Good Shepherd Hospital. The role supports staffing needs, vacation coverage, and assists with various administrative and patient-facing tasks within the department. The department operates Monday through Friday during day shifts.

Requirements

  • 2 years of secretarial experience, healthcare environment preferred.
  • High school or equivalent.
  • Knowledge of medical terminology preferred.
  • Good communication skills.
  • Typing - minimum 30 wpm preferred.
  • Computer literate with multiple database, spreadsheet and software/windows applications (Excel, MSWord, PowerPoint).
  • Ability to create spreadsheets and manipulate data.

Responsibilities

  • Greet patients and families, answer questions, or direct them to appropriate personnel.
  • Schedule initial consult, follow-up, and simulation appointments.
  • Assist patients with medical history forms and obtain preliminary medical history.
  • Utilize AIDET with patients and families.
  • Demonstrate positive interpersonal skills and keep patients/families informed and reassured.
  • Coordinate and preauthorize imaging scans.
  • Initiate and complete prior authorizations for services.
  • Write letters for physician or department use.
  • Differentiate registration procedures based on visit type.
  • Create electronic charts while maintaining confidentiality.
  • Obtain medical records and outside images/records from other facilities.
  • Scan documents into patient electronic charts.
  • Input, edit, and send physician dictations.
  • Add, review, and complete QCLs.
  • Correct patient account or chart discrepancies.
  • Obtain patient clinical information from internal systems.
  • Take new patient intake information from referring physicians.
  • Answer departmental phones and page personnel as requested.
  • Take and relay accurate messages.
  • Keep staff informed and update EMR.
  • Communicate with physician practices.
  • Sort and distribute mail.
  • Respond to electronic communications in a timely manner.
  • Register patients into Allegra and Mosiaq, ensuring accuracy.
  • Complete the registration process, obtaining necessary forms and documents.
  • Obtain ICD 9 codes from physician/chart for computer entry.
  • Operate office equipment (telephones, fax, copier, scanner).
  • Maintain quality of data input.
  • Create swipe in queuing cards for patients.
  • Set and follow priorities to meet deadlines.
  • Seek appropriate personnel for clinical information requests.
  • Work independently and demonstrate organizational skills.
  • Follow up on pending matters.
  • Make appropriate, timely, and accurate decisions.
  • Locate and examine resources to solve problems.
  • Identify and handle routine daily problems effectively, involving leadership as appropriate.
  • Order office and nutritional supplies.
  • Attend annual Radiation safety in-service.
  • Participate and provide feedback in process improvement.
  • Participate and provide suggestions in department meetings.
