About The Position

The Quality Improvement & Proposal Coordinator supports Thrive Medical Services, LLC in two core areas: the continuous quality improvement (CQI) program and new business development. This position collects and reports CQI metrics, coordinates quality and leadership meetings, tracks corrective actions to completion, researches new contract and RFP opportunities, and helps organize proposal materials for executive review. The role supports compliance with NCCHC standards and contract requirements and does not make clinical decisions or approve pricing or final proposal content.

Requirements

  • Minimum 2 years of experience in healthcare quality, compliance, contracts, proposals, or administrative project coordination.
  • Strong skills in Google Workspace and Microsoft Office, especially spreadsheets and document formatting.
  • Highly organized, detail-oriented, and able to manage multiple deadlines.
  • Clear written communication skills and the ability to maintain strict confidentiality of protected health information (PHI) and business information.
  • Must pass a background check and meet facility security clearance requirements.

Nice To Haves

  • Bachelor's degree in Healthcare Administration, Business, Public Health, or a related field preferred; equivalent experience considered.
  • Experience with correctional healthcare, NCCHC standards, EHR reporting, or government procurement preferred.

Responsibilities

  • Collects, validates, and organizes monthly CQI and operational metrics from Sapphire EHR reports and approved non-EHR records.
  • Maintains CQI dashboards, scorecards, and trend reports for each facility and presents results to leadership.
  • Schedules CQI committee, MAC, and leadership meetings; prepares agendas, records minutes, and distributes action items.
  • Tracks corrective action plans, assigned owners, and due dates, and follows up until each item is closed.
  • Supports CQI studies, audit readiness, and NCCHC accreditation documentation.
  • Maintains organized electronic files for quality reports, meeting records, and supporting evidence.
  • Monitors county, state, and federal procurement portals for correctional healthcare, behavioral health, substance use, and staffing opportunities.
  • Maintains a centralized opportunity tracker with solicitation links, due dates, scope summaries, requirements, and status.
  • Prepares brief opportunity summaries for leadership that outline scope, staffing needs, key requirements, and risks to support go/no-go decisions.
  • Builds proposal calendars, compliance matrices, and submission checklists.
  • Gathers required proposal documents, including resumes, licenses, references, insurance certificates, W-9s, and forms.
  • Formats and assembles proposal packages and tracks renewal dates for current contracts.
