About The Position

The Quality Assurance Data Administrator is responsible for supporting the execution of quality assurance programs through the management, validation, and maintenance of product, supplier, packaging, and regulatory data across multiple systems and customer platforms. This role plays a critical part in ensuring the accuracy and integrity of quality-related information, supporting compliance with food safety regulations, customer requirements, and internal quality standards. The Quality Assurance Data Administrator works closely with suppliers, customers, production, purchasing, and cross-functional teams to maintain specifications, labeling compliance, vendor approvals, and quality documentation. Success in this role is measured through data accuracy, regulatory compliance, timely completion of quality assurance activities, effective management of specifications and supplier documentation, and the ongoing support of food safety and quality programs that protect both our customers and our brands.

Requirements

  • 1 to 3 years of experience in a Quality Assurance Administrator, Quality Assurance Coordinator, Food Safety Coordinator, or similar role, preferably within the food manufacturing industry.
  • Strong understanding of food safety systems, quality assurance principles, Good Manufacturing Practices (GMPs), allergen management, and regulatory compliance requirements.
  • Experience managing product specifications, supplier documentation, nutrition labeling, and quality records.
  • Familiarity with customer specification portals, data management systems, and quality documentation processes.
  • Strong attention to detail with the ability to manage large volumes of data accurately and efficiently.
  • Proven ability to communicate effectively with suppliers, customers, and internal stakeholders.
  • Excellent analytical, organizational, and problem-solving skills with the ability to prioritize multiple tasks and deadlines.
  • Genuine passion for continuous learning, quality excellence, and process improvement.
  • Strong collaboration and interpersonal skills, with the ability to work effectively across cross-functional teams.
  • University degree or college diploma in Quality Assurance, Food Science, Food Safety, Microbiology, or a related field.

Responsibilities

  • Reviews and maintains supplier specifications for ingredients, packaging materials, and finished products to ensure accuracy and compliance with regulatory and customer requirements.
  • Obtains and manages Certificates of Analysis (COAs), Letters of Guarantee, and other supplier quality documentation in a timely manner.
  • Administers and maintains the Johnvince Foods Vendor Approval Program, ensuring supplier records remain current and complete.
  • Creates, updates, and maintains finished product specifications and supporting quality documentation.
  • Prepares product information, including ingredient declarations, allergen statements, and nutritional information to support customer and regulatory requirements.
  • Develops and verifies Nutrition Facts Tables using supplier specifications, formulation data, and laboratory test results.
  • Uploads and maintains product specifications and supporting documentation within customer-specific portals and data management systems.
  • Provides label artwork files and product documentation to customers and internal stakeholders as required.
  • Reviews and approves product labels to ensure compliance with applicable food regulations, customer requirements, and company standards.
  • Supports food safety and quality training initiatives by educating employees on GMPs, allergens, food safety requirements, and quality procedures.
  • Collaborates with Production, Maintenance, Purchasing, and other departments to address quality-related issues and implement corrective actions.
  • Communicates supplier quality concerns, manages complaint investigations, and follows up on corrective and preventive actions.
  • Assists with customer complaint investigations, root cause analysis, and documentation of findings.
  • Initiates, tracks, and maintains non-conformance reports (NCRs) and associated corrective action records.
  • Supports product hold and release activities, ensuring accurate documentation and compliance with testing and approval requirements.
  • Participates in internal audits and follows up on corrective action plans to ensure ongoing compliance.
  • Assists in the development, review, and maintenance of Standard Operating Procedures (SOPs), specifications, quality control programs, and processing procedures.
  • Maintains inventory levels of laboratory chemicals, testing supplies, and quality assurance materials.
  • Works safely and follows legislated and established safe work procedures and practices.
  • Other duties as assigned in adherence to the JVF GMP policies.
