About The Position

To assist the Business Services Manager in maintaining reliable and accurate data and files for effective and efficient purchasing throughout the district. Qualifications t o perform this job successfully, a n individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill s, and/or abilities required to be successful: High School Diploma or GED Experience with various Office software such as Word and Excel Effective organizational skills Ability to multi-task Proficiency in record keeping and attention to detail Ability to work with staff, teachers, students and parents at various educational levels Ability to work in a team atmosphere Ability to use constructive techniques to resolve issues Proficient communicator with excellent interpersonal skills in dealing with all levels of district staff and with a diverse community Ability to work independently Skills: Problem Solving - Identifies and resolve s problems in a timely manner; g athers and an alyzes information skillfully; develops alternative solutions; w orks well in individual and group problem solving situations.   • Must p ass Department of Public Safety Fingerprint clearance c heck .
  • Must be United States citizen or have valid work visa at date of hire with the ability to maintain.
  • All changes in visa status must be reported to Human Resources immediately.
  • Photo identification and work visa, (if necessary), will be needed for fingerprint clearance card and I-9 documentation prior to first day of work.
  • Proof of Mum ps, Measles and Rubella, (MMR) v accination .
  • Valid government issued i dentification or current work visa with expiration d ate .

Responsibilities

  • Contacts and confers with vendors to obtain product or service. information such as price, availability, and delivery schedule.
  • Obtains quotations as required.
  • Inputs and/or approved requisition into financial system.
  • Issues approved purchase order to vendors, requestors, & warehouse.
  • Creates and utilizes computer printouts and prepares reports.
  • Maintains procurement records such as vendor regristrations,W-9's, cooperative contract due dilligence and written determinations.
  • Assists with fiscal physical inventory per USFR guidelines.
  • Provides information to auditor as required.
  • Prepares Formal Sealed Bids.
  • Prepare a report for Board approval on bids.
  • Acts as District liaison between vendors and District.
  • Verifies that all bidding guidelines are followed.
  • Works with staff to insure all USFR guidelines are followed.
  • Assists with payables when needed.
