About The Position

NES is the region's premier dock and door service company, providing services for loading dock equipment, rollup doors, and industrial access systems. The Purchasing & Inventory Manager will be responsible for designing, building, and running the purchasing, inventory, and materials systems. This role owns how parts, equipment, rentals, and subcontracted work are sourced, bought, received, stocked, staged, priced, and reconciled. The goal is to ensure crews never wait on parts, jobs cost as quoted, and all expenditures are properly documented.

Requirements

  • 8+ years in purchasing, procurement, or materials management in field service, commercial construction, industrial distribution, HVAC/plumbing/electrical contracting, material handling, or equipment service.
  • Direct involvement in a system implementation or migration, with a record of building or materially improving processes.
  • Hands-on purchasing experience creating and managing hundreds or thousands of POs a month.
  • Ability to read estimates, scopes of work, and equipment specs and perform accurate material and capital equipment takeoffs.
  • Hands-on inventory ownership in a field service platform or ERP (ServiceTitan strongly preferred), including receiving, adjustments, transfers, and cycle counts.
  • Proven three-way matching (PO, receiving record, vendor invoice) experience and comfort working with accounting on reconciliation.
  • Track record negotiating vendor pricing, payment terms, and lead times with measurable results.
  • Intermediate to advanced Excel or Google Sheets skills (pivot tables, lookups, basic forecasting).
  • Valid California driver's license and clean driving record.
  • Able to lift 50 pounds and work in a warehouse environment.
  • Must be able to work on-site in Irvine.

Nice To Haves

  • Some management experience (1-3 years leading a purchasing, procurement, or materials function, or managing/mentoring a coordinator).
  • ServiceTitan price book administration experience, including labor line items and packages.
  • Working knowledge of loading dock equipment, commercial overhead and rollup doors, or industrial access systems and their parts.
  • Experience integrating a field service platform with an accounting system.
  • Fleet management experience.
  • Equipment rental and subcontractor procurement experience.
  • APICS/ASCM CPIM or CSCP, or ISM CPSM certification.

Responsibilities

  • Design and build purchasing, inventory, and materials systems.
  • Own the configuration, permissions, workflows, and user training for inventory and purchasing modules.
  • Build and run the purchasing-to-bill workflow, tying POs to bill creation with the Controller and accounting team.
  • Own three-way matching (PO, receiving record, vendor invoice) and reconcile to accounting reports weekly.
  • Enforce credit card controls, ensuring every card purchase has a PO, receipt, and bill.
  • Write and maintain SOPs for all purchasing and inventory processes and train the team.
  • Handle complex procurement, including capital equipment, multi-vendor sourcing, rentals, and subcontracted scope.
  • Read estimates, scopes of work, and equipment specs to perform material and capital equipment takeoffs.
  • Step into the transaction queue during volume spikes or coordinator absences.
  • Attach every PO to the correct job in the field management software.
  • Run material usage reports, forecast inventory needs, and set min/max levels and reorder points.
  • Own inventory adjustments, transfers, and the cycle count program, maintaining system accuracy at or above 98%.
  • Direct warehouse organization, receiving, allocation to shop or truck, and job staging.
  • Maintain the price book in real time, including materials, equipment, services, and labor.
  • Source new vendors and alternate suppliers to improve pricing, lead time, and availability.
  • Negotiate pricing, payment terms, freight, volume tiers, and return policies with vendors.
  • Manage rental and subcontractor relationships, rates, and terms.
  • Maintain vendor scorecards and consolidate spend for better terms.
  • Bring cost-reduction opportunities forward with supporting data.
  • Manage fleet maintenance, repairs, service records, registration, inspection, and compliance.
  • Manage the uniform provider, including sizing, replacement, and billing accuracy.
  • Own the PPE program: stocking, distribution, and replacement.
  • Develop the Parts & Purchasing Coordinator.
  • Report monthly on spend, inventory accuracy, turns, stockouts, match exceptions, and cost savings.
  • Participate in leadership meetings, including daily huddles, weekly team meetings, monthly leadership reviews, quarterly planning, and annual strategy meetings.
