About The Position

The Purchasing and Inventory Control Clerk works under immediate supervision and as assigned, works in the purchasing and warehousing section to distribute, store, and inventory County supplies, materials, equipment, and other hard assets. This role is crucial for maintaining optimal inventory levels and ensuring timely deliveries to meet departmental requirements.

Requirements

  • High School Diploma or equivalent and two (2) years technical training or experience in inventory control, procurement, or store keeping; Or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
  • Must have or obtain by date of hire a valid driver's license applicable to job responsibilities, with a driving record acceptable to the County of El Paso.
  • A personal mobile smart device is required by the hire start date to access the County’s network and systems.
  • Knowledge of English usage, grammar, punctuation, and spelling.
  • Knowledge of techniques for effective interpersonal communications.
  • Knowledge of modern office procedures, methods, and computer equipment to include Windows and Microsoft based products.
  • Knowledge of printing, copying, and postage equipment and related equipment.
  • Knowledge of warehouse procedures and paper flow, bills of lading, and invoicing.
  • Ability to use material handling equipment.
  • Ability to operate a personal computer using standard Office operating software and general office equipment.
  • Ability to communicate effectively both orally and in writing.
  • Ability to make mathematical computations.
  • Ability to prepare clear, concise, and comprehensive written reports and staff studies.
  • Ability to perform arithmetical calculations with speed and accuracy.
  • Ability to organize and expedite orders.

Responsibilities

  • Takes inventories of items in stock and maintains optimum inventory levels to ensure timely deliveries to meet departmental requirements.
  • Tags, bar-codes, and documents County assets.
  • Evaluates function and quality of materials purchased.
  • Operates materials handling equipment.
  • Ensures that items are properly and safely stored.
  • Inventories and issues frequently used supplies and materials for county departments.
  • Oversees the storage and distribution of purchased goods.
  • Receives materials and equipment, ensuring correctness of quantity and quality and maintaining records of stock received.
  • Inspects goods, tools, and equipment to ensure they are in accordance with purchase specifications and invoices.
  • Disperses and delivers supplies, materials, and equipment from the stock room and keeps records of stock issued and returned.
  • Inspects, meters, and sorts official outgoing mail.
  • Receives incoming mail and interdepartmental mail, sorts according to appropriate destination, and distributes to all County departments.
  • Sorts and weighs outgoing mail and affixes postage using a postage meter.
  • Provides print shop services, including stocking and inventorying print and mail supplies.
  • Corrects and develops photo-ready originals.
  • Receives and verifies print shop stock deliveries.
  • Operates printing and digital copier equipment for the reproduction of single and multi-color printed materials, forms, letterhead, and transparencies.
  • Performs clerical, recordkeeping, and warehouse work coordinating all commodities and equipment movement and storage.
  • Ensures adequate inventory of frequently used supplies and materials.
  • Maintains records and files.
  • Assists in audits of assets.
  • Substitutes, if assigned, during temporary absences by performing delegated duties sufficient to maintain continuity of normal operations.
