The Purchasing Agent supports the end-to-end procurement process by coordinating purchase orders, managing supplier communication, and ensuring timely availability of materials for API projects This role helps maintain GMP-compliant documentation, prevents stockouts, and contributes to efficient production operations by assisting with day-to-day purchasing tasks and inventory coordination. Please note this position requires full-time on-site presence.

Requirements

  • A minimum of Diploma in Supply Chain/ Inventory Management or related field.
  • 2-3 years of experience in the related field.
  • Strong oral and written communication.
  • Strong in Microsoft Excel.
  • Ability to take direction.
  • Attention to detail.
  • Enthusiastic and willing to learn.
  • Good interpersonal skills with the ability to interact with people at all levels with sensitivity and tact.

Nice To Haves

  • Experience in pharmaceutical industry or construction is an asset.
  • VBA knowledge is an asset.

Responsibilities

  • Create and manage purchase orders for different projects and other needs, including raw materials, consumables, and services.
  • Coordinate with suppliers to confirm pricing, lead times, deliveries, and resolve order issues.
  • Track open orders and follow up to ensure on-time delivery to support production and QC schedules.
  • Maintain accurate procurement records, documentation, and GMP-compliant files.
  • Support inventory management by monitoring stock levels and helping prevent shortages.
  • Assist with sourcing activities, quotation requests (RFQs), and cost comparisons.
  • Collaborate with Engagement & Brand, Finance, Project, Operation, QA/QC, and warehouse teams to address material, service or documentation needs.
  • Update ERP data related to suppliers, materials, and lead times to support planning accuracy.
