Requirements

  • Bachelor’s degree and 3+ years of experience providing executive administrative support, office management, program support, or government administration services.
  • Demonstrated experience managing calendars, travel coordination, correspondence, records management, and executive-level administrative functions.
  • Experience preparing briefing materials, reports, meeting documentation, and official correspondence for senior leaders and stakeholders.
  • Strong organizational, communication, and coordination skills with the ability to manage multiple priorities in a fast-paced environment.

Nice To Haves

  • Experience supporting Public Affairs, Strategic Communications, Combatant Commands, Joint Staff, or Department of Defense organizations.
  • Proficiency with Microsoft Office Suite, Defense Travel System (DTS), records management systems, and government administrative processes.
  • Demonstrated experience supporting senior executives, coordinating high-visibility events, and managing complex administrative requirements within government or military environments.

Responsibilities

  • Provide administrative and executive support to Public Affairs leadership, including calendar management, meeting coordination, task tracking, and office administration.
  • Coordinate schedules, appointments, engagements, and travel arrangements to ensure efficient execution of leadership priorities and mission requirements.
  • Prepare briefing materials, read-ahead packages, meeting agendas, correspondence, reports, and other administrative products supporting leadership activities.
  • Manage travel authorizations, vouchers, and related documentation while ensuring compliance with government travel regulations, policies, and procedures.
  • Serve as a primary point of contact for internal and external inquiries, routing communications and coordinating responses as appropriate.
  • Maintain records management systems, administrative files, contact databases, distribution lists, and personnel rosters to ensure accuracy and accessibility.
  • Coordinate logistics for meetings, conferences, engagements, teleconferences, and special events, including venue scheduling, attendee management, and material preparation.
  • Monitor administrative actions, suspense requirements, and taskers to ensure timely completion and support organizational effectiveness.
