About The Position

Under general supervision, perform a variety of municipal clerk and administrative support duties within the City Clerk’s Office; respond to requests and inquiries; and perform related work as required. The incumbent reports to and takes direction from the City Clerk or the City Clerk’s designee. Incumbents receive thorough instructions when tasks are initially assigned and after training are expected to perform duties without constant supervision. Work is reviewed frequently upon completion and while in progress. Incumbents are expected to refer any variation in work to the supervisor for instruction.

Requirements

  • Possession of a valid California Driver's License and a good driving record
  • Business Administration, Public Administration, Political Science student or in a closely related field, with a 3.00 GPA minimum from an accredited college or university
  • Preferably a Junior or higher standing from an accredited college or university
  • Basic principles and practices of public administration and local government
  • Basic office administrative practices and procedures
  • English usage, grammar, spelling, and punctuation
  • Basic mathematical principles
  • Basic research, data collection, and recordkeeping methods
  • Modern office equipment, technology, and software applications, including Microsoft Word, PowerPoint, Excel, and Outlook
  • Principles of professional communication and customer service
  • Read and understand local government laws, legislation, ordinances, regulations, policies, and procedures
  • Learn and apply established procedures under supervision
  • Communicate clearly and professionally, both orally and in writing
  • Understand and follow oral and written instructions
  • Perform work accurately with close attention to detail
  • Organize assignments, manage multiple priorities, and meet deadlines
  • Research, compile, organize, and present information
  • Maintain accurate records and files
  • Prepare and update correspondence, reports, presentations, spreadsheets, and other materials
  • Operate standard office equipment and use modern office software and technology
  • Exercise discretion and maintain the confidentiality of sensitive information
  • Establish and maintain effective working relationships with coworkers, City employees, public officials, and members of the public
  • Provide courteous and professional customer service

Responsibilities

  • Assist the City Clerk’s Office with current and new programs, services, and projects
  • Assist with, and learn, the processes involved in preparing for, and supporting, City Council and City boards and commissions meetings
  • Assist with elections, public records requests, records management, and other municipal clerk functions
  • Research, compile, organize, and analyze information for projects and reports
  • Learn and develop knowledge of applicable laws, regulations, ordinances, policies, and procedures
  • Provide administrative support
  • Establish and maintain positive working relationships with coworkers, City employees, public officials, and members of the public
  • Perform related work as required
