About The Position

The Protocol Specialist will be responsible for organizing and coordinating base-wide tours for distinguished visitors, supporting command briefings and meetings, planning and managing ceremonies and official functions, recording and publishing meeting minutes, and assisting with protocol matters for social functions and media coordination. This role also involves supporting other administrative duties as directed within the CG-AIR command.

Requirements

  • U.S. citizenship required.
  • Minimum of two (2) years of protocol and event planning experience, including applying protocol and etiquette to organize events, coordinate ceremonies, and manage receptions involving dignitaries, military and civilian representatives, and high-ranking officials.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite applications.
  • Ability to manage multiple tasks with competing deadlines.
  • Ability to work with minimal Government oversight.
  • Must obtain a Military/DoW Protocol Specialist certification within 12 months of hire; proof of certification required upon completion.
  • Must meet all applicable USCG/DHS facility access, identification badge, CAC, IT system access, privacy, and security requirements.

Nice To Haves

  • Prior military or DoD/DHS agency experience in a protocol or administrative support role.
  • Experience supporting Flag Officer or Senior Executive-level engagements.
  • Familiarity with USCG or Coast Guard Air Station operations and command structure.
  • Experience coordinating media relations or public affairs activities.
  • Associate's degree or higher in a related field (e.g., Communications, Business Administration, Public Administration).

Responsibilities

  • Organize and coordinate base-wide tours for distinguished visitors, including Congressional staff, USCG Flag Officers, DHS personnel, and other Government agencies.
  • Develop itineraries, arrange transportation, greet arriving aircraft, and escort guests throughout the base complex.
  • Support command briefings, meetings, and conference room operations by setting up and operating audio/visual equipment.
  • Manage the Commanding Officer's conference room schedule and update briefing materials.
  • Plan and manage ceremonies and official functions including retirements, promotions, awards, and recognition events.
  • Prepare invitations, scripts, speeches, programs, and related event materials.
  • Record and publish meeting minutes and documentation for required meetings and command functions.
  • Assist with protocol matters for social functions, enlisted recognition programs, and local media coordination.
  • Support other CG-AIR command administrative duties as directed.
