About The Position

The PTM Administrative Assistant will work under the leadership of the Divisional PTM Manager to serve as a key resource to So. Cal. Corps and Social Services programs, ensuring that every ministry operates as a safe and protected environment for children and vulnerable adults. This role includes helping to deliver high-quality Protecting the Mission (PTM) training at both regional and divisional levels, maintaining accurate and compliant records, and assisting with regular site audits across all units. The PTM Administrative Assistant is responsible for keeping track of all employee and volunteer online trainings throughout the Division, working collaboratively with sites to ensure training is up to date, and online training issues are addressed with care, consistency, as assigned.

Requirements

  • High school diploma or GED equivalent, required.
  • 2+ years of office experience.
  • Must possess a valid California driver’s license and pass a criminal background check.
  • Proficient in Microsoft office, Power Point and Excel.
  • Highly proficient organizational skills.

Responsibilities

  • Provide administrative support to the Divisional PTM Manager, ensuring efficient coordination of all Protecting the Mission (PTM) activities across the division.
  • Travel to and assist with PTM site inspections, trainings, meetings, and follow-up visits throughout Southern California, maintaining an organized and up-to-date divisional calendar.
  • Prepare, track, and distribute inspection materials, reports, and correspondence for all Corps and Social Service units.
  • Assist in collecting, organizing, and maintaining PTM documentation, ensuring all records (electronic and hard copy) are complete, accurate, and readily accessible.
  • Support the administration of PTM compliance tracking systems, including maintaining databases related to training completion, site inspections, and reporting as needed.
  • Maintain the PTM presence on the employee Landing Page, updating the online platform with relevant documents and maintaining feedback and interest forms as needed.
  • Monitor PTM training compliance by tracking employee and volunteer training status and coordinating with Human Resources to ensure onboarding and ongoing requirements are met.
  • Assist with the preparation and delivery of PTM training events, including logistics, materials, attendance tracking, and follow-up communication.
  • Coordinate communication between divisional leadership, site staff, and Territorial Headquarters (THQ) related to PTM processes, training, and reporting.
  • Maintain and update divisional PTM resources, including online materials, forms, guides, and communication templates.
  • Compile data and assist in generating reports related to PTM compliance, inspections, and training outcomes for divisional leadership.
  • Provide support for PTM inspection teams, including coordinating team assignments, travel arrangements, and documentation needs.
  • Respond to routine inquiries from Corps and Social Service units regarding PTM processes, documentation requirements, and training logistics.
  • Maintain strict confidentiality in handling sensitive PTM information, including incident reports, personnel matters, and investigative materials.
  • Perform general administrative duties including filing, document preparation, data entry, and record retention in support of the PTM function.
