Proposal Manager

ON.energy•Miami, FL

About The Position

ON.energy is hiring a regional bid manager to own and execute the full proposal lifecycle for its AI Medium Voltage Uninterruptible Power Supply (AI MV UPS) opportunities. The AI MV UPS is a battery-based, medium-voltage critical power platform designed to protect AI and HPC data center campuses, stabilize GPU-training workload power swings, and support utility and grid-code compliance for large-load interconnections. The role delivers accurate, competitive, compliant, and timely technical and commercial proposals to hyperscale, colocation, neocloud, and enterprise data center customers in an assigned region. It works within Salesforce Sales Cloud governance, uses NetSuite cost and order data, manages proposal content in Microsoft Office 365, and uses Claude to accelerate RFP analysis and proposal authoring. The Regional Bid Manager partners with regional Sales, Sales Engineering, Product, Engineering, PMO, Supply Chain, Service, Finance, and Legal. The position develops customer-ready proposal packages and commercial offers, assesses bid risks and approvals, maintains opportunity and costing records, and supports customer discussions and awarded-bid handoffs. It also contributes to shared proposal standards, templates, and AI workflows. For US-based roles, the posting lists competitive salary and annual performance-based bonus eligibility, medical, dental, and vision insurance, a 401(k) with company match, paid time off, and company holidays. Mexico-based role benefits are listed separately. All roles include professional development and growth opportunities.

Requirements

  • 5–10 years of experience creating and managing complex technical-commercial proposals for the data center industry, including multi-million-dollar critical power or electrical infrastructure bids.
  • Demonstrated ownership of multiple concurrent proposals from RFP receipt through award, working directly with regional sales teams and customers.
  • Strong understanding of data center critical power, including MV and LV distribution; UPS topologies; lithium-ion battery and BESS systems; MV transformers; switchgear; PCS; generators; SCADA, EMS, and BMS; and redundancy and availability design.
  • Solid commercial knowledge of supply and EPC contracts, including liquidated damages, warranties, performance and availability guarantees, payment milestones, Incoterms, and limitation of liability.
  • Ability to interpret electrical drawings, single-line diagrams, system layouts, specifications, SLAs, and scopes of work.
  • Familiarity with bid governance frameworks, margin thresholds, risk controls, and approval matrices.
  • Exceptional writing and content development skills for technical and executive audiences.
  • Strong organizational skills and ability to manage multiple simultaneous bids under tight deadlines.
  • Bachelor’s degree in Electrical Engineering, Mechanical Engineering, Energy Systems, Business, or a related field; an engineering degree is preferred.
  • Proficiency with Salesforce Sales Cloud, including opportunity and pipeline management, quotes, approvals, reports, dashboards, and data hygiene.
  • Proficiency with NetSuite for item and BOM costing, quotes and sales orders, cost and margin searches, and quote-to-order handoff.
  • Advanced Microsoft Office 365 skills, including Excel, Word, PowerPoint, SharePoint, Teams, and Outlook.
  • Hands-on experience using Claude to analyze RFPs and specifications, build compliance matrices, draft and edit proposal content, and summarize contracts, applying responsible-AI practices to confidential customer data.

Nice To Haves

  • Experience with proposal automation, CPQ, or content-management platforms such as Loopio or Responsive.
  • Bid or sales engineering experience with a critical power OEM or integrator selling into data centers.
  • Knowledge of the assigned region’s data center market, key customers, utilities, and competitive landscape.
  • Exposure to MV UPS, battery energy storage, microgrids, or grid-interactive data center solutions.
  • Familiarity with utility and ISO interconnection requirements for large loads and with ITC, FEOC, domestic-content, and tariff considerations.
  • APMP certification or equivalent proposal-management training.
  • Bilingual English/Spanish and experience with international bids.

Responsibilities

  • Own end-to-end bid development for assigned regional AI MV UPS opportunities, including technical exhibits, scope of supply, exclusions, clarifications, commercial terms, and AI-generated content modules.
  • Analyze RFP requirements, build compliance matrices, and map project timelines.
  • Prepare AI MV UPS system proposals addressing medium-voltage architecture and topology, redundancy schemes, ride-through duration, IT and mechanical load coverage, battery system sizing, transformer, PCS and switchgear integration, and reliability and availability metrics.
  • Explain AI-specific value in proposals, including mitigation of GPU load oscillations, power quality, utility and ISO grid-code and interconnection compliance, and speed-to-power benefits compared with conventional low-voltage UPS architectures.
  • Structure commercial offers across capital sale, LTSA, extended warranty, availability and performance guarantees, and service-based models.
  • Flag tax, trade, and supply-chain considerations affecting offers, including ITC eligibility, FEOC and domestic-content considerations, tariffs, and country of origin; resolve these with Finance and Legal.
  • Maintain accurate Salesforce Sales Cloud opportunity, quote, and approval records, including stages, MW, pricing, documents, and close dates for pipeline and forecast reporting.
  • Use NetSuite for item and BOM costing and quote-to-order handoff, maintaining traceability from proposal to booked order.
  • Prepare Go/No-Go and bid review packages, commercial risk assessments, and approval submissions covering margin thresholds, liquidated damages, payment milestones, warranty exposure, and limitation of liability.
  • Use Claude and other AI tools for RFP analysis, compliance matrices, draft narratives, and contract or specification summaries, with human review and confidentiality controls.
  • Apply and help improve proposal templates, pricing formats, terms-and-conditions summaries, performance guarantees, engineering assumptions, and technical documentation in Office 365 and SharePoint.
  • Produce customer-ready packages, including executive summaries, commercial summaries, technical appendices, project timelines, risk matrices, and presentation decks.
  • Support customer clarification meetings, bid revisions, and best-and-final offers; hand awarded bids to Project Delivery with proposal-to-contract traceability.
  • Share regional lessons learned and contribute to proposal best practices, templates, and AI workflows across the team.
  • Deliver complete, on-time regional AI MV UPS proposal packages, price-to-win analyses and commercial financial models, compliance and risk matrices, standardized electrical architecture materials, accurate system records, approval presentations, and LTSA, warranty, and service exhibits.
