About The Position

Machinify is hiring a Proposal Manager to join its Marketing team and lead proposal development for government healthcare procurements and commercial health plan opportunities. The role coordinates contributors across Legal, Product, Operations, Finance, Clinical, and other subject matter teams. It is intended for a builder who will improve proposal quality, content reuse, and the processes and AI workflows supporting future submissions. The Proposal Manager owns the full lifecycle of RFPs, RFIs, RFQs, and ITBs, from intake through submission. Government opportunities include Medicaid RAC, Employee/Retiree, MCO oversight, and fee-for-service recovery audit procurements. The role uses Claude, including Claude Cowork, and other AI tools to draft and assess responses, create a structured and retrievable content repository, and improve efficiency while preserving proposal specificity and quality. This person gathers and synthesizes input from subject matter experts, develops persuasive buyer-focused narratives, manages review and approval cycles, coordinates pricing and legal sign-off, tracks deadlines, navigates procurement portals, and owns final submissions. They also maintain the content library after submission and treat ethics, confidentiality, and information security as essential throughout the process. The position is digital-first and can be performed from anywhere in the United States, with travel at least quarterly for team offsites.

Requirements

  • At least 4 years of proposal writing experience, including government healthcare RFPs.
  • Direct experience with payment integrity, claims audit, or healthcare cost containment.
  • Experience contributing to commercial health plan RFPs in addition to government proposals.
  • Familiarity with proposal management tools and content library platforms.
  • Strong writing skills, including translating technical and clinical material into persuasive narratives and writing concise executive summaries.
  • Strong storytelling instincts and the ability to identify and advocate for what may make or break a win.
  • Project management skills, including scheduling, resource coordination, milestone tracking, and judgment about when to escalate.
  • Demonstrated meaningful use of AI tools in day-to-day work and curiosity to develop further AI capabilities.
  • Bachelor’s degree in business, marketing, communications, or a related field; equivalent experience is considered.
  • Ability to work independently in a fast-paced, deadline-driven environment with shifting priorities.
  • Proficiency in Microsoft Office Suite.
  • Ability to travel at least quarterly for team offsites.
