About The Position

We are seeking a highly organized Proposal Coordinator to join our Communications team. In this role you will coordinate with various internal teams to gather information, write and edit content, and use design software to create compelling client proposals. Requirements

  • Strong graphic, writing, editing, and organizational skills with excellent attention to detail
  • Proficiency in Adobe InDesign and other Creative Cloud applications
  • Bachelor’s degree in Marketing, Communications, Graphic Design, or related field preferred
  • Ability to manage multiple deadlines simultaneously in a fast-paced environment
  • Comfortable working with technical staff and translating concepts into clear, compelling content
  • Strong sense of ownership, accountability, and follow-through

Nice To Haves

  • Familiarity with CRM systems a plus
  • Experience in marketing is a plus

Responsibilities

  • Oversee the entire lifecycle of a proposal, including creating production schedules and tracking deadlines
  • Read and interpret client requests (RFPs, RFQs) to determine requirements and ensure the final submission is compliant
  • Work closely with project managers, principals, and technical staff to gather project information, develop winning strategies, and integrate content from various sources
  • Write, edit, and tailor content
  • Use InDesign to create visually appealing and professional-looking proposal documents and presentations
  • Utilize and train AI to manage content to be used in future proposals
