About The Position

The Proposal Associate II is responsible for preparing quotations for protocols, bid requests, study revisions, and additions using the company's pricing tools. This role involves completing budget to actual reconciliations, assisting in making recommendations on desirable proposals, and inquiring with Business Development Directors to ensure quotes meet client needs. The Associate will coordinate and facilitate quotation generation, assist with proposal tracking, and update SalesForce. Depending on business unit expectations, they may manage low to medium complexity opportunities or shadow senior colleagues on more complex ones. The role also includes participating in departmental initiatives, preparing reports, and providing back-up assistance for other departmental functions.

Requirements

  • Bachelor’s degree or equivalent in science, business, or marketing related discipline.
  • At least 1 year of experience within a pharmaceutical; clinical research or healthcare environment, preferably in a Proposals role or very similar.
  • Ability to perform calculations and manage budgets.
  • Ability to apply mathematical concepts to budget management for clinical trials.
  • Working knowledge of Microsoft Office applications including word processing, Excel spreadsheets, and PowerPoint.
  • Aptitude for learning new database software quickly.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or clinical research protocols.
  • Ability to write reports and business correspondence.
  • Ability to effectively present information and respond to questions from colleagues and clients.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Responsibilities

  • Prepare quotations for protocols, bid requests, study revisions and additions using the company's pricing tools.
  • Complete budget to actual reconciliations at predetermined time points over the course of awarded studies.
  • Assist in making recommendations on desirable proposals based on established financial and operational criteria.
  • Inquire with Business Development Directors to ensure that clinical study quotes are complete and address the client's needs.
  • Coordinate and facilitate quotation generation to ensure smooth and timely business process flow by working with appropriate staff and partner laboratories.
  • Assist with proposal tracking.
  • Update SalesForce, as needed, and ensure accuracy of departmental information.
  • Manage opportunities of low to medium complexity (based on business unit and/or team expectation).
  • Shadow and/or assist more senior colleagues on opportunities of medium to high complexity (based on business unit and/or team expectation).
  • Participate in Business Operations departmental initiatives.
  • Assist in preparation of departmental reports, as assigned.
  • Provide back-up assistance for other departmental functions, when needed.
  • Perform all other related duties, as assigned.
