About The Position

The Property Manager is responsible for all duties related to processing tenant applications, including marketing the property, accepting and receiving applications, qualifying applicants, maintaining waiting lists, showing apartments, and reviewing lease contracts. They will also handle tenant re-certifications, reinforce lease terms, prepare for audits, assign tasks, and approve timecards for key holders. The role involves collecting rents, posting to a database, making bank deposits, and maintaining tenant and unit files. Additionally, the Property Manager performs move-in and move-out inspections, processes security deposit refunds, and ensures timely repairs. They will also process accounts payable, attend training, prepare reports, work within the operating budget, and process work orders. Maintaining maintenance files, checking community spaces for cleanliness and safety, controlling keys, and assisting tenants with lockouts are also key responsibilities. In some cases, Property Managers may be required to live on-site. They will manage community room calendars, review policies with tenants, and coordinate self-sufficiency programs and recreational activities. Emergency preparedness, including mapping essential utilities and escape routes, is also part of the role. Other duties as assigned.

Requirements

  • General computer literacy.
  • Proficiency in Microsoft Office, especially Word and Excel.
  • Strong verbal and written communication skills.
  • Ability to work with people of all cultures and economic status.
  • Ability to provide professional and courteous customer service.
  • Works collaboratively in a team environment.
  • Ability to prioritize, multitask, and meet deadlines autonomously.
  • Experience working in an office environment and using office equipment.
  • Proven ability and experience maintaining confidentiality with proprietary company information and personal client information.
  • Valid CA driver’s license, proof of auto insurance, and access to a reliable vehicle.
  • Light lifting (up to 20 pounds), walking, bending, and squatting for short periods of time.

Nice To Haves

  • Bilingual (English/Spanish) may be required and is always highly preferred.
  • Experience in affordable housing property management highly desired.

Responsibilities

  • Process tenant applications, including marketing, accepting applications, qualifying applicants, and reviewing lease contracts.
  • Re-certify tenants annually and reinforce lease terms, addendums, and house rules.
  • Prepare for audits.
  • Assign tasks, review, and approve timecards for key holders.
  • Collect rents, post to database, make bank deposits, and maintain tenant and unit files.
  • Collect laundry money, roll, and deposit on a regular basis (if applicable).
  • Perform move-in inspections with tenants, reviewing leases and house rules, and instructing on appliance use.
  • Perform move-out inspections in coordination with Portfolio Manager and/or Facilities/Maintenance Manager.
  • Arrange for re-keying of front door locks.
  • Process security deposit refunds in a timely manner.
  • Ensure repairs and maintenance needs are addressed promptly for quick re-renting.
  • Assist with periodic inspections.
  • Process accounts payable on a weekly basis.
  • Attend appropriate training classes and seminars to stay current with required certifications.
  • Prepare various weekly and monthly reports as required.
  • Work within the approved operating budget.
  • Process work orders by notifying maintenance, landscape staff, or outside providers of needed repairs.
  • Track preventive maintenance.
  • Process purchase requests and approval forms.
  • Maintain a maintenance file for each unit to track warranty information and schedule preventative maintenance.
  • Check community spaces, grounds, mailboxes, and parking areas for cleanliness and safety daily.
  • Maintain control of keys for apartments and common areas.
  • Assist tenants with lockouts.
  • Assist tenants in organizing typical cultural and national celebrations.
  • Maintain the community room calendar (if applicable).
  • Review cleaning policy, security deposit, and other rules with tenants.
  • Accept and refund deposits for appropriate use of community space.
  • Work with the Health and Community Services Department, Portfolio Manager, and local agencies to coordinate self-sufficiency programs and recreational activities for tenants (if applicable).
  • Advise tenants on accessing public and private social services (if applicable).
  • Prepare for emergencies with mapping of gas shutoff valves, water, escape routes, etc.
  • Other duties as assigned.
