About The Position

Mon Ami Real Estate is seeking a Property Management Coordinator for their Chicago office, focusing on their public housing portfolio. This role is the operational engine for the Chicago office and the public housing portfolio, which consists of 98 units under HUD's Mixed-Finance Program leased to the Chicago Housing Authority. The position involves managing rent collections, work orders, vendor relations, and supporting the occupancy side of the portfolio. This is a hands-on, in-office role requiring direct interaction with tenants, vendors, and the team.

Requirements

  • 3+ years in property management, collections, accounts receivable, office management, or maintenance coordination.
  • Demonstrated ability to manage a work order or dispatch queue.
  • Comfortable having direct conversations about past-due balances.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication, professionalism, and empathy.
  • Ability to take initiative, adapt to changing priorities, and multi-task in a fast-paced environment.
  • Google Workspace proficiency and strong Excel skills.
  • Tech-savvy enough to learn and implement new tools quickly.
  • Valid driver's license and reliable transportation.
  • High school diploma or equivalent required.

Nice To Haves

  • Associate's or Bachelor's degree in property management or a related field.
  • Yardi experience, particularly the maintenance and work order modules.
  • Existing network of Chicago trade vendors.
  • Knowledge of HUD regulations and Chicago Housing Authority policies.
  • Prior exposure to recertifications, waiting lists, or REAC inspections.
  • Certified Occupancy Specialist (COS) or willingness to obtain it.
  • Spanish language skills.

Responsibilities

  • Manage the rent collection cycle from end to end, including posting payments, maintaining tenant ledgers, reconciling receipts in Yardi, and handling deposits and security deposit ledgers.
  • Prepare and serve late notices, 5-day and 14-day notices, and support documentation for legal action.
  • Manage the work order queue from intake to closure, logging requests in Yardi, dispatching, and tracking completion.
  • Coordinate in-house maintenance staff and triage emergency requests requiring a response within 24 hours.
  • Develop and maintain a reliable vendor bench for the CHA portfolio by sourcing licensed, insured contractors, obtaining bids, and tracking compliance documents.
  • Coordinate with condominium association boards and managing agents on access, scheduling, and reporting inspection deficiencies.
  • Support the HUD recertification process by sending notices, collecting documents, preparing calculations, and scheduling appointments.
  • Perform CHA quality control, including preparing files, supporting waiting lists, and managing move-in/move-out paperwork.
  • Manage office operations, including repairs, equipment upkeep, supply inventory, and event coordination.
  • Handle mail and package processing, including certified mail and digital tracking.
  • Process expense tracking, reconciliation, purchase orders, and invoice processing.
  • Provide general clerical support, including answering phones, managing visitors, document preparation, scheduling, and HR onboarding coordination.
  • Assist with IT setup and basic troubleshooting, Google Drive organization, lease administration, database support, marketing, and process improvements.
