About The Position

The Property Management Administrator is a key member of the Property Management team, responsible for supporting daily operations, lease administration, rent collection, and neighbor-facing services. This role blends strong administrative execution with relational engagement-ensuring accurate records, consistent lease compliance, and supportive interactions that promote housing stability and a well-run community. Mobile Loaves & Fishes (MLF) is a social outreach ministry that has been empowering communities into a lifestyle of service with the homeless since 1998. Founded in Austin, Texas, the organization serves its homeless neighbors through three core programs: Truck Ministry, Community First! Village, and Community Works. Often referred to as the most talked about neighborhood in Austin, Community First! Village is a 51-acre master planned development that provides affordable, permanent housing and a supportive community for men and women coming out of chronic homelessness. We are now embarking on a new phase of community expansion, adding more than 1400 new neighbors over the next 5-10 years. At Community First! Village (CFV), the Neighbor Care department has the privilege of walking alongside our neighbors, providing opportunities for them to settle, cultivate, and care for themselves and others in this unique community home to formerly chronically homeless individuals. As a part of the Neighbor Care team, the Property Management team is animated by a vision to empower neighbors into a lifestyle of accountability, goodness, and mutual respect in order to create a peaceful and healthy community. We are currently hiring for two Property Management Administrator positions to support our continued growth: one role will remain on our main CFV campus on Hog Eye Road, while the second role will begin onboarding at that location before transitioning to our new Burleson property, tentatively targeted for October and subject to operational needs.

Requirements

  • Commitment to serving those who have experienced homelessness and personal alignment with MLF's vision, mission, core values, and goals.
  • 1–3 years of experience in property management, housing administration, office administration, or a related support role preferred
  • Experience in supportive housing, nonprofit, or community-based environments preferred, with comfort engaging individuals impacted by trauma, mental illness, or addiction
  • Experience supporting de-escalation or conflict resolution in high-stress situations preferred
  • Strong organizational skills and attention to detail, particularly in documentation, compliance, and financial recordkeeping
  • Experience with rent collection, payment posting, account reconciliation, and maintaining accurate tenant financial records preferred
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong interpersonal and customer service skills, with the ability to navigate sensitive or complex situations with professionalism and care
  • Ability to handle sensitive and confidential information with discretion and professionalism
  • Experience with or ability to learn property management software such as AppFolio
  • Proficiency in Microsoft Office Suite
  • Ability to work independently with sound judgment and as part of a collaborative team
  • Professionalism, resilience, and adaptability in a dynamic environment
  • Must have a valid driver's license

Responsibilities

  • Maintain accurate and up-to-date tenant and property records in AppFolio
  • Collect, post, and reconcile rent payments; coordinate deposits with Accounting
  • Apply and audit tenant charges, adjustments, and utility billing
  • Reconcile accounts and assist with debt write-offs in collaboration with Accounting
  • Audit rental payments against bank and credit card records to ensure accuracy
  • Generate and issue lease-related notices, including delinquency, notices to vacate, and lease violations
  • Prepare and execute lease documentation and coordinate lease signings for new move-ins
  • Maintain tenancy files and ensure compliance with documentation standards
  • Assist neighbors with rent questions, payment plans, and past-due balances
  • Manage rent incentive programs in support of neighbor housing stability
  • Assist neighbors in developing payment plans to address past-due balances and support sustained housing stability
  • Support rent stability initiatives and incentive programs
  • Partner with Supportive Services and case managers to connect neighbors with resources
  • Identify housing-related concerns and escalate to Neighbor Care leadership, assisting with supportive intervention
  • Respond to neighbor concerns, service requests, and housing-related needs in a timely and professional manner
  • Submit, track, and follow up on work orders through completion
  • Maintain key inventory, access badges, parking passes, and access control records
  • Observe and document potential lease violations and community concerns using established protocols and systems
  • Maintain a working knowledge of lease terms and community expectations
  • Communicate lease expectations clearly and respectfully to neighbors when appropriate
  • Assist with incident documentation and reporting
  • Review camera footage and support incident follow-up as needed
  • Coordinate with internal teams and, when appropriate, external partners such as emergency services
  • Maintain organized records of lease documentation, incidents, and compliance-related materials
  • Support de-escalation of challenging or sensitive situations using trauma-informed communication
  • Maintain a calm, professional, and empathetic presence in high-stress situations
  • Recognize and escalate situations requiring emergency services or senior staff
  • Participate in staff meetings, trainings, and community events as required
  • Assist with reporting, audits, and special projects
  • Other Duties & Responsibilities as needed
