As a Property Management Administrator, you will play a critical support role across the Property Management function, with a strong focus on financial coordination, contract administration, and operational execution. You’ll work closely with Property Managers, Accounting, Legal, and Engineering to ensure processes run smoothly and data is accurate —directly contributing to the performance of Sabey’s commercial real estate portfolio. Requirements

  • 3+ years of experience in property management, accounting, or administrative support
  • Experience with Yardi or similar property management/accounting systems strongly preferred
  • High school diploma or GED ; additional industry education or certifications a plus
  • Valid Washington State driver’s license with a clean driving record
  • Strong financial and analytical skills, with attention to detail
  • Proficiency in Microsoft 365 (Excel, Outlook, Word, PowerPoint)
  • Strong organizational skills with the ability to manage multiple priorities
  • Effective communication skills across teams and stakeholders
  • Customer-focused, solutions-oriented mindset
  • Ability to work both independently and collaboratively
  • Interest in continuous learning and professional development (BOMA or similar encouraged)
  • Willingness to learn and leverage new technologies , including AI tools

Responsibilities

  • Supporting purchase order (PO) and MER creation, tracking, and processing
  • Running and reviewing open PO reports, ensuring accuracy and timely follow-up
  • Assisting with invoice tracking, coding, and vendor communication
  • Supporting monthly and quarterly financial reporting, including variance analysis
  • Assisting with budget preparation, tracking, and forecasting activities
  • Supporting CAM and operating expense reconciliations
  • Partnering with engineering on expense tracking, POs, and reporting
  • Serving as backup to the Front Desk Office Manager as needed
  • Supporting tenant move-ins and move-outs, including coordination and documentation
  • Creating and maintaining tenant welcome materials and communications
  • Managing vendor contracts in Dock365 in partnership with Legal and Property Managers
  • Entering contracts and purchase orders into Yardi and routing for approval
  • Coordinating vendor insurance compliance through Trustlayer
  • Supporting ENERGY STAR reporting and sustainability initiatives
  • Assisting with compliance efforts related to the Clean Buildings Act
  • Supporting team meetings, events, and department initiatives
