About The Position

The Property Coordinator provides administrative, operational, and tenant-support assistance to the Property Manager. This role serves as a primary support function for day-to-day property operations, vendor coordination, work order management, compliance tracking, and tenant communication in a healthcare setting. The Property Coordinator ensures high service levels, accurate documentation, and smooth coordination between tenants, vendors, and internal teams.

Requirements

  • Associate’s or Bachelor’s degree preferred (Business, Real Estate, or related field)
  • 1–3 years of experience in property management, facilities coordination, or administrative support
  • Familiarity with property management software (Yardi, Building Engines/Prism, or similar)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities across a portfolio of properties
  • Proficiency in Microsoft Office (Outlook, Excel, Word)
  • Attention to detail and follow-through

Responsibilities

  • Support Property Manager with daily operations
  • Maintain property files including insurance certificates, vendor contracts, and compliance documentation
  • Assist with invoice processing, and coding for operating expenses
  • Track capital projects, repairs, and preventative maintenance schedules
  • Update property management software (e.g., Yardi, Prism/Building Engines) with accurate records
  • Receive, log, and track tenant maintenance requests
  • Coordinate vendor access, scheduling, and follow-ups
  • Ensure required credentials are on file (licenses, insurance, background checks, badges)
  • Assist with preventative maintenance programs (HVAC, fire/life safety, generators, elevators, medical gases, etc.)
  • Follow up on work completion and tenant satisfaction
  • Serve as a primary point of contact for tenant inquiries and service requests
  • Communicate service updates, access coordination, and scheduled work to tenants
  • Assist with onboarding new tenants and distributing welcome materials
  • Coordinate after-hours and emergency response as needed
  • Prepare reports for Property Managers (open work order status, property inspections)
  • Maintain organized digital and physical property records
