About The Position

Working as part of the Oakridge Park team, the Property Administrator will support the Senior Property Administrator. This role requires strong communication skills, exceptional attention to detail, and the ability to stay organized and perform effectively in a fast-paced, dynamic environment. This role is based on-site out of Oakridge Park, Vancouver, BC.

Requirements

  • 2 or more years’ experience in a similar role with an accounting and/or bookkeeping focus
  • Basic understanding of lease interpretation and real estate industry experience would be considered an asset
  • Post secondary education in a related field is preferred
  • Experience with Yardi is considered an asset
  • Strong organizational, multitasking and time management skills
  • Excellent analytical and creative problem-solving skills
  • Strong oral and written communication skills in English, other language an asset.
  • Ability to prioritize workload and handle competing priorities and deadlines

Responsibilities

  • Prepare and deposit all rent payments and apply monthly rental payments to tenant accounts, including posting to Yardi; Collect outstanding tenant rents and diligently respond to tenant inquiries.
  • Analyze and act on monthly aged receivables report; Prepare and provide tenant statements of account and ensure accuracy of posted rental charges, payments and chargebacks.
  • Accounts Payable – code, verify and input invoices to ensure they are processed in a timely manner, including tracking and monitoring the utility accounts.
  • Handle account reconciliations and process adjustments as needed; Prepare demand letters in compliance with lease terms and follow up with further action when required;
  • Administer lease related payments, such as tenant allowances and tenant chargebacks.
  • Correspond with tenants to ensure accurate insurance certificates/coverage;
  • Track percentage rent and sales overages and follow up accordingly;
  • Maintain and update service contracts database and ensure service agreements and purchase orders are entered into Yardi;
  • Maintain and update tenant contact information, including phone numbers, contact names and emergency contact information in CRM and Yardi;
  • Prepare and reconcile Visa transaction statements in Workday;
  • Process monthly gift card reconciliation;
  • Distribute annual rental notices as well as year-end adjustment notices.
  • Assist in preparation of various monthly, quarterly and annual reports.
  • Other related duties as required.
