About The Position

The Projects Assistant provides administrative support, including clerical and accounting support, to the Assistant City Engineer and the Engineering and Public Works Department. This position is in the classified service of the City, requires a six-month probationary period, and is covered by the Fair Labor Standards Act.

Requirements

  • Meet the attendance requirements of the position. M-F 8 am to 4 pm.
  • Knowledge of business English, math, and modern office policies and procedures.
  • Proficient in all Microsoft Office programs.
  • Excellent written, oral, organizational and interpersonal communications skills.
  • Excellent organizational skills with accuracy and attention to detail.
  • Must be able to handle multiple tasks with minimum supervision.
  • Completion of high school or vocational school, supplemented by secretarial and computer science coursework.
  • A minimum of two years administrative experience including experience using a personal computer with Microsoft applications.
  • The City may consider any other equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
  • A background check will be conducted prior to employment.

Nice To Haves

  • Knowledge of terminology in civil engineering environment preferred.

Responsibilities

  • Answers telephone, radio, and electronic communications with the general public, other employees, and other departments.
  • Interacts with the Engineering and Public Works Department, outside engineering firms and agencies, contractors and vendors in planning, development, and construction of capital improvement projects.
  • Maintains project related files including: copies of grant applications, correspondence, agreements, design documents, submittals, contract changes, daily reports, proposal requests and payment applications.
  • Maintains Private Development files and correspondence.
  • Prepares and formats documents, correspondence, meeting minutes, reports and specifications, including Contract Documents and Bid Specifications, and other documents as needed.
  • Coordinates with the Mayor’s office to submit legal advertisements for publication in the local newspaper, as well as on required websites.
  • Distributes Contract Documents and Bid Specification Books and maintains Bidder’s List.
  • Records required contract documents at the Recorder’s Office.
  • Coordinates and arranges meetings, takes meeting minutes during meetings.
  • Submits purchase order requests, vouchers invoices, and completes grant reimbursements and loan disbursement requests.
  • Works with the Auditor’s office/Authority Finance and utilizes Excel to manage/track project expenses.
  • Delivers and picks up mail, supplies etc. at EPW sites and various City locations, as needed.
  • Serves as a backup to the Administrative Coordinator, as needed.
  • Performs notary duties, as required.
  • Assumes other responsibilities and performs other related duties as needed.
