Job Summary Performs diversified functions of limited scope and difficulty within an assigned office. Organizes and facilitates a variety of special projects and/or programs in support of office operations that involve conducting research, compiling data and preparing reports as required. Acts as a liaison between the assigned office and other District offices as well as outside agencies.

Requirements

  • Bachelor’s degree from an accredited college or university.
  • One year of full-time, paid administrative or administrative support work which has included conducting research, analyzing data and preparing reports, and using a personal computer and software applications.
  • Knowledge of office principles, practices and procedures.
  • Knowledge of standard research methods and techniques.
  • Knowledge of report writing.
  • Knowledge of business English, including spelling, punctuation and grammar.
  • Knowledge of personal computer software applications that are used to create reports and documents and to design spreadsheets.
  • Ability to prepare and interpret narrative and statistical reports.
  • Ability to analyze data and to make recommendations based on findings.
  • Ability to handle multiple projects through to completion.
  • Ability to use and operate a personal computer.
  • Ability to use word-processing and spreadsheet software applications.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to establish and maintain effective working relationships.

Responsibilities

  • Organizes and facilitates a variety of special projects and/or programs; compiles data and statistics; prepares financial, statistical and/or narrative reports; reports results and makes recommendations to superior, when appropriate.
  • Conducts research in response to inquiries received or in an attempt to resolve problems; gathers and analyzes information and/or data; communicates findings.
  • Acts as a liaison between the assigned office and local and state governmental entities.
  • Works collaboratively with other offices and outside agencies on the implementation of joint ventures; may assist by recruiting District staff participants, securing District space and/or addressing financial issues.
  • Attends meetings with representatives from outside agencies that desire to partner with the District on new initiatives; gathers information and determines the feasibility of the District’s participation; makes recommendations to superiors.
  • Evaluates the effectiveness of ongoing and special projects being conducted under the auspices of the assigned office; makes recommendations for modifications as needed.
  • Responds to inquiries received from within the District and from outside agencies regarding School District policies, procedures and initiatives.
  • Prepares a variety of reports for local and state government agencies.
  • Works with vendors and public agencies to obtain information about contracts and catalogs.
  • Supports Materials Manager and Procurement Manager(s) in tracking, reporting and researching contracts for use by program departments.
