Our Values Respect | Belonging | Accountability | Transparency Department Administration Office Job Summary Under general supervision, this position provides project support to multidisciplinary teams within the organization. Develops and maintains project workflow documentation, captures essential information for all projects. Acts as a system, trainer, educator and administrator for various system and applications. Collaborates with key stakeholders to support the enhancement, standardization, compliance of various departments. In collaboration with other teams assesses and document requirements, gaps, issues, risks, and enhancements. Interfaces with internal functional teams and external departments or clients for information or requirement planning of overall activities in support and achievement of goals in the organization.

Requirements

  • High School Diploma or GED Required
  • 4-6 years
  • Two years of process improvement or administrative experience in healthcare, medical information, or related field required.
  • Demonstrated ability to monitor projects, including basic project plan creation.
  • Ability to summarize and document detailed information in an organized and concise manner.
  • Understanding of compliance, confidentiality and document management.
  • Exemplary planning and organizational skills, along with a high degree of attention to detail and quality.
  • Excellent written and verbal communication, problem solving skills and the ability to work independently.
  • Ability to organize multiple work processes simultaneously and meet deadlines in an environment with frequent interruptions.
  • Ability to support, maintain, and administrate systems.
  • Ability to quickly learn systems administration for new systems procured by department operations.
  • Ability to build and maintain strong, collaborative relationships with internal and external customers (sponsors, requestors, project stakeholders, senior management, supervisors and team members) to collect, organize and communicate information essential to project success.
  • Knowledge of safety principles in department environment.
  • Knowledge of standards, policies, and procedures of Denver Health.
  • Advanced Microsoft Office product proficiency including Word, Outlook, Excel, and Power Point.
  • Will acquire or possess basic proficiency in the use of AdobePro, SharePoint, SmartSheet, Visio,
  • Demonstrates advanced computer proficiencies, including excellent typing skills and the ability to work among multiple databases.

Responsibilities

  • Interacts and collaborates with internal multidisciplinary teams.
  • Coordinates, assists, and documents activity for project.
  • Works directly with internal and external customers to address current issues, coordinate current and new projects, teleconferences, and client requirements, as applicable.
  • As approved by direct supervisor, assists and coordinates the planning and implementation of new processes and projects.
  • Attends meetings, takes notes, communicates actions and monitors status to oversee projects or work progression.
  • Supports direct supervisor to document key project milestones, adjusting project plans/resources to meet project needs.
  • Develops reports for team monitoring of progress in achievement of project goals.
  • Prepares agendas for team or project meetings and documents key decisions.
  • Provides clear and direct communication to internal and external partners regarding status, requests, or follow up.
  • Responds to internal inquiries about operations and procedures, data sources, mechanism and tracking tools.
