Job Summary: The candidate will manage engineering scope, cost and schedule to deliver efficient, high quality projects in a timely fashion. They will have experience managing project teams including themselves and three or more other engineering resources. They will have the ability to manage multiple projects totaling more than $600K in engineering services annually. This individual will be solely responsible for overseeing all phases of projects, ensuring timely delivery, budget compliance, and exceptional client experience. This role requires strong leadership, proactive communication, and the ability to foster long-term client relationships while driving new business opportunities. Project Managers are expected to actively engage with clients beyond project execution, including client dinners, building rapport, and identifying opportunities for additional work. This includes promoting our services and collaborating with clients to develop future projects.

Requirements

  • Bachelor’s or master’s degree in an Engineering field preferred.
  • Eight-Ten years’ experience as a Project Lead.
  • Proficiency in using engineering tools and software to: Develop project schedules and track progress against milestones and deadlines. Develop project budgets and track status. Manage project meeting notes and follow-up lists.
  • Flexibility and willingness to work on various projects and tasks, embracing new challenges with enthusiasm.
  • Demonstrated ability to work independently and take initiative to drive projects forward.

Responsibilities

  • Work with the client to understand the project scope. Scope includes design criteria, goals and schedule.
  • Using the defined scope determines the design team needed. Obtain proposals from outside members and fee budget from internal members.
  • Working with the Accounting Project Coordinator put together a design/bid phase proposal and send it to the client.
  • Follow up regularly with the client on status of Purchase Order. [Most PO's are issued within 3 business days so need to follow up after 3 days].
  • Once a Purchase Order is received, work with the Accounting Project Coordinator to get project set up properly in VantagePoint, ICPO's (for internal team members, and PO's (for external consultants) sent out.
  • Working with the D/B Project Coordinator, put together the Project Team Directory and Project Plan and schedule a design Kick-off Meeting.
  • Put together and manage the Project Schedule. It is critical to communicate this schedule with the entire design team as well as the client. This includes adding applicable Milestones into Project mates for the client.
  • Organize/Manage Microsoft Teams meetings (i.e. weekly internal design team meetings, owner review meetings, etc.) Ensure Meeting Notes are kept and distributed.
  • Orchestrate the initial design site survey visit.
  • Ensure individual design team members are working on gathering OFCI equipment proposals at the appropriate timeframe.
  • Organize the front-end Bid Package (i.e. Introductions to Bidders, Bid Forms, Pre-bid Meeting Notes, etc.)
  • Put together the list of bidders. This includes making sure the invited bidder has a Master Agreement. (If they don't then send instructions to Accounting Coordinator).
  • Orchestrate and lead a Construction Pre-bid Walk at the site. Issue Meeting Notes for this visit.
  • Manage the Bid Process. Review and respond to bidder RFI's via official Addendums. Receive and review bids from the invited bidders.
  • Working with the Accounting Project Coordinator put together a Construction Phase proposal and send it to the client.
  • Due to size of Construction Proposals, we won't receive the Purchase Order quickly. However, it is critical that the PM ensures the client has started the Purchase Order process.
  • Once a Purchase Order is received, work with the Accounting Project Coordinator to get project set up properly in VantagePoint. For Construction Administration for Design Professionals issue ICPO's (for internal team members) and PO's (for external consultants) sent out. Ensure Purchase Orders are sent out to all selected contractors. Sent email notifications to bidders that we NOT selected thanking them for their time and hope to reach out for future projects. (Do NOT share financial information.)
  • Put together the Project Team Directory and distribute. [Need each company's PM and Forman/Superintendent contact information]
  • Orchestrate and lead a Construction Kick-off Meeting(s) at the site. One Meeting is for the Construction Team (typically private). A follow up Meeting is with the client (without contractors). Issue Meeting Notes for this
  • Gather information from sub-contractors to put together the Project Schedule. This includes adding applicable Milestones into Project mates for T-Mobile.
  • Organize/Manage Microsoft Teams meetings (i.e. weekly contractor meetings, weekly PM/CM meetings, weekly owner review meetings, etc.) Ensure PC to attend these calls (Meeting Notes by CM?).
  • Verify we are keeping milestones up to date in Project mates.
  • Use D/B Project Coordinator in tracking owner changes (quotes received & info sent to Accounting PC)
  • Track submittits [primarily the CM's responsibility]
  • Visit Job site on 4–6-week maximum intervals throughout the project.
