About The Position

Oak Ridge National Laboratory (ORNL) is seeking a Project Management Associate to support the Defense Manufacturing Program Office (DMPO) within the National Security Sciences Directorate (NSSD). This position provides programmatic and operational support to Program Managers executing a diverse portfolio of applied research and development programs in advanced manufacturing. The selected candidate will work under general supervision of the Project and Portfolio Manager, with day-to-day tasking aligned to Program Managers, to support execution of program priorities. This role will focus on program financial tracking, federal sponsor reporting, and procurement coordination, ensuring that programs are effectively managed within cost, schedule, and compliance constraints. The position plays a key role in supporting Program Managers in tracking program costs, preparing and delivering financial reports to sponsors, and coordinating procurements necessary for project execution. This includes working across ORNL systems and organizations to ensure accurate financial data, timely acquisition of resources, and alignment with DOE and national security program requirements.

Requirements

  • A BS/BA degree and 5-7 years of relevant financial, contracts administration, procurement, project support, or related experience
  • Experience in financial management and procurement
  • Practical experience in utilizing software used at ORNL such as SAP, Ariba-SAP, Business Intelligence
  • The candidate must possess the ability to function in a fast-paced environment requiring a high degree of accuracy
  • Must be customer service oriented with the ability to communicate effectively with a diverse laboratory population
  • Excellent attention to detail and well-developed written and oral communication skills
  • Requires proficiency in PC Microsoft Office, word processing, spreadsheets, and databases, such as Excel, Access, Adobe Acrobat and Word
  • Must possess the ability and willingness to work effectively as a member of a team, as well as independently, as required
  • Proficient at PowerBI and Advanced Excel (PowerPivot, PowerQuery)

Nice To Haves

  • Previous experience with similar projects
  • Understanding of project controls best practices regarding scope, time, cost, and risk
  • Be open to new ideas and developing new processes as needed to meet mission needs and improve efficiency. Assist other projects in an ad-hoc role as-needed to fill in gaps
  • Understanding of Federal Strategic Partnership Projects and associated funding documents

Responsibilities

  • Track program and project financials across a multi-project portfolio
  • Maintain budgets, forecasts, and burn rate analyses
  • Prepare sponsor-facing financial reports and briefings
  • Ensure reporting aligns with contractual and sponsor requirements
  • Organizes, plans, and develops common procedure for budget activity leads to follow during the Lab’s planning and budgeting process.
  • Develops and analyzes financial forecasts and trends; evaluates financial status of budgets; issues summary reports; makes recommendations for corrective actions if necessary
  • Monitoring federal strategic partnership projects (SPP) financial status to ensure projects are within budget
  • Prepare and coordinate federal reporting deliverables (monthly, quarterly, annually)
  • Ensure accuracy and timeliness of submissions
  • Support audits, reviews, and compliance tracking
  • Coordinate procurements, requisitions, and vendor interactions
  • Track procurement status and align with project schedules
  • Ensure compliance with ORNL and federal acquisition requirements
  • Support program deliverables, reporting, and meeting coordination
  • Ensure alignment between financials, procurement, and technical work
  • Perform ad-hoc activities as directed by the DMPO staff
