The Operations team is a key partner in enabling Biohub’s pioneering work to combine frontier AI with frontier biology to solve disease and Learning Commons’ mission to build AI infrastructure that aligns how students learn with the tools that shape their learning experiences. Operations includes our Central Tech, Finance, Marketing & Communications, People, and Real Estate / Workplace / Events / Facilities / Security (REWFS) teams. Together, these teams create the systems, programs, and experiences that empower our partners and colleagues across Biohub and Learning Commons to drive impact. This work requires strategic and operational rigor, creativity, and deep collaboration. Whether designing world-class employee experiences, safeguarding data and infrastructure, or shaping how we communicate our impact, Operations plays a critical role in helping deliver meaningful change at scale. We're looking for a Project Manager, Marketing to help run how our team operates day to day. You'll manage the systems, processes, and workflows — from intake and prioritization to project tracking — that let us ship creative and production work efficiently, at a high bar of quality, and at scale. This role reports to the Marketing Operations Lead, within the broader Marketing & Communications organization. The ideal person for this role thinks in systems. You see a manual, repeatable task and know how to build an AI-assisted workflow that makes it faster and more reliable. You bring real judgment about how a creative team should operate, and you're comfortable working without a blueprint — you'll help figure out what processes the team needs and why, then build them.

Requirements

  • 5+ years of experience in project management, marketing operations, or a similarly operational role, ideally supporting a brand, creative, or communications function
  • Proven experience building or deploying AI-powered tools or workflows that reduced manual work — you can point to specific things you've built, not just tools you've used
  • Highly organized and detail-oriented; you catch the things others miss
  • Self-motivated with strong follow-through; comfortable creating structure and process where none exists yet
  • Collaborative and easy to work with across a range of stakeholders and working styles
  • Strong written and verbal communication skills
  • Comfort working with project management/collaboration tools (e.g., Notion, Airtable, Jira)

Nice To Haves

  • Event planning or logistics experience is a plus

Responsibilities

  • Build and maintain the systems — intake, project tracking, approvals, asset and file management — that keep the team running
  • Identify where AI can automate repetitive or manual work, from intake triage to status reporting, and build those workflows
  • Document workflows and playbooks so processes scale beyond any one person
  • Run day-to-day project management across the team's creative and production work: intake, prioritization, timelines, and status tracking
  • Spot bottlenecks before they become blockers, and help redesign the process, not just patch the symptom
  • Keep multiple projects moving in parallel without letting details slip
  • Serve as the point of contact for teams submitting creative and production requests
  • Coordinate timelines and dependencies across creative, content, and partner teams
  • Maintain dashboards and reporting on capacity and project status
  • Support logistics and planning for brand-related events, activations, or offsites as needed
