About The Position

The Marketing Project Manager, under direction of the Vice President of Marketing and Communications is responsible for managing the traffic, production, reporting, and forecasting of all projects that fall under the purview of Marketing and Communications. This role coordinates cross-functional initiatives, oversees project timelines, and maintains strong relationships with internal and external stakeholders.

Requirements

  • Strong written communication skills, including the ability to write, proofread, edit and produce Word, PowerPoint and Excel documents and project management software (Asana, Trello, MS Project).
  • Experience building and maintaining project schedules and maintaining multiple priorities and adapt quickly and easily to a changing environment.
  • Ability to learn new software with little guidance.
  • Able to effectively identify and analyze problems and develop creative solutions to solve problems with varying degrees of information.
  • Capable of creating effective working relationships by adjusting approaches to meet the needs of a diverse team.
  • Able to communicate, understand, and speak English to communicate with guests, staff, volunteers and vendors.
  • Ability to operate a motorized vehicle, including battery-operated golf cart.
  • Valid driver’s license and clean driving record.
  • Must meet acceptable attendance and punctuality requirements, which are essential functions for the position.
  • Bachelor’s degree in Project Management, Business Administration, or related field, or 5+ years of experience in project management, operations, or related roles.

Nice To Haves

  • Experience with SalesForce and/or SalesForce Marketing Cloud is a plus.
  • Experience with GoogleAds, Google Analytics highly desired.
  • Project Management Professional (PMP) / PRINCE II certification.

Responsibilities

  • Manage the workflow of the Marketing and Communications Department.
  • Receive, review and process all incoming job requests and ensure that each contains all information required to be actionable and successful.
  • Manage projects according to department operating model, schedule meetings accordingly and leverage internal project management tools to deliver appropriate follow up for Intake, Discovery, Kick Off, and Creative Review meetings.
  • Manage the production schedule to ensure jobs are delivered on time, within budget and on strategy.
  • Lead weekly production meeting to keep internal team consistently updated and on task.
  • Work closely with in-house design and communications resources on all jobs as well as vendors to obtain bids, negotiate pricing, and oversee production and delivery of final product.
  • Track and report on project performance across multiple platforms for both short and long-term analysis and forecasting.
  • Create and maintain comprehensive project documentation.
  • Work closely with department leadership to establish new and evolve existing workflows to deliver more efficiently and effectively for internal stakeholders.
  • Take a service first-approach, managing and nurturing relationships with all departments.
  • Establish and maintain relationships with third parties/vendors.
  • Meet and assist internal partners to create detailed briefs and clarify specific requirements of each project.
  • Identify and implement process improvements to enhance project efficiency and operational effectiveness.
  • Perform other duties as assigned to support the VP of Village Operations, and project teams.
