About The Position

The Project Manager I (PM I) is accountable for coordinating and managing clients’ projects through all phases of laboratory operations, including project set-up and maintenance, login review, communication of analytical issues, client account maintenance, reporting, invoicing, bottle orders, client pickups, and identification of work share facilities. The PM I role fosters and develops client relationships in support of the laboratory mission.

Requirements

  • BS/BA in Chemistry/Sciences or related field (four years related experience may substitute for a degree)
  • 6 months of client-relationship/customer service experience
  • Requires additional lab training in methods and QA across multiple departments
  • Authorization to work in the United States indefinitely without restriction or sponsorship
  • Professional working proficiency in English is a requirement, including the ability to read, write and speak in English.

  • Prefer some bench chemist or field experience

Responsibilities

  • Project set-up, including project review in LIMS, setting up projects, adding project notes, reviewing project documentation, adding project documentation to central repository, setting up clients for Total Access, managing purchase orders, task orders, contracts, and change order requests, verifying lab compound lists and limits meet project requirements, adding project specific limits/lists to LIMS, and assigning deliverable routes.
  • Communicating project details to operations, initiating project kick-off calls, engaging work share labs and service centers, and working with operations to ensure adequate capacity for incoming work.
  • Creating bottle orders, scheduling couriers or field samplers, confirming subcontract labs are on the approved list and set up as vendors, initiating approval processes for new subcontract labs, generating subcontract paperwork, and generating accounting software requisitions.
  • Verifying lab certification and compound lists/limits meet project requirements for new quotes, confirming EDD format availability, and engaging work share labs for new quotes.
  • Providing supporting documentation to clients as needed.
  • Managing sample receipt, communicating issues to clients, managing incoming rush work and short holds, reviewing and resolving log-in issues, informing clients of discrepancies, setting samples to “available” after review, and sending client sample receipt confirmation.
  • Reviewing draft invoices, confirming necessary client information is recorded in LIMS for invoicing, and setting up delivery routes.
  • Generating credit/debit memos as needed, submitting them for approval, and submitting revised invoices.
  • Initiating follow-up calls to confirm correct invoicing, working with collections on A/R follow-up, and regularly reviewing A/R status.
  • Client set-up, including working with CSM to communicate lab capabilities, requesting new client reviews, confirming sales assignments, taking new quote requests, reviewing client contract requirements and purchase orders, submitting purchase orders for approval, and following up on client terms and credit limits.
  • Account maintenance, including follow-up calls and visits with clients, providing technical support, using company resources to follow up on client requests, being familiar with company capabilities and key contacts, forwarding opportunities and leads to sales, forecasting upcoming work, asking for the next opportunity, and understanding areas of responsibility.
  • Quote generation and approvals, including initiating QAPP review, initiating technical support, reviewing client quote requests, confirming client contracts and pricing, determining lab placement, confirming lab certification and compound lists/limits, creating quotes, submitting quotes for approval, sending quotes to clients, forecasting quotes, providing QAPP/SOW information, and updating status in LIMS.
  • Submitting client complaints and participating in corrective action, communicating client issues/complaints to sales, following up on client requests, and supporting the follow-up of quotes/bids for tracking purposes.
