About The Position

BrokerLink is seeking a Project Manager, Facilities to join their growing team. This role is responsible for managing and overseeing major fit-up projects for the reorganization of Brokerlink sites. The ideal candidate will be accountable for the timely and cost-effective management of office moves and closures within project parameters, providing project management services both on-site and remotely for Central/Atlantic offices. This includes reconfigurations, relocations, and upgrades, with financial management of established budgets, and compliance with business timelines. The role requires maintaining effective communication with other departments, liaising with management on technical and administrative issues, resolving issues, and maintaining business relationships with service providers, contractors, and technicians. The Project Manager will also monitor the quality of products and services, stay current with industry trends, identify areas for improvement, and recommend changes to processes. Awareness of ergonomic issues and recommendations for improvements are also key aspects of this role.

Requirements

  • Bachelor’s degree in construction
  • Current Project Management Professional (PMP) designation
  • 5+ years’ experience in office moves, closures, amalgamations, commercial furniture
  • Ability to travel 5-6 days each month to Ontario-wide sites and possibly within Canada for on-site construction meetings.
  • Additional days required to be on-site during May - October
  • Exceptional and demonstrated planning, design implementation and customer service
  • Attention to detail
  • Ability to successfully manage multiple competing tasks
  • Must be eligible to work in Canada from the anticipated start date and throughout their employment.

Responsibilities

  • Manage and oversee major fit-up projects for the reorganization of Brokerlink sites.
  • Manage and oversee office moves, closures, amalgamations, and decommissioning.
  • Manage the full cycle of office construction and renovations, following national governance, budgeting, guidelines, and policies.
  • Undertake Facilities JotForm requests and complete 8+ requests per week.
  • Provide assessment of acquisition sites signage, manage design, production, and installation of Ontario-wide exterior and interior signage.
  • Update Real Estate Projects SmartSheet or similar and calendar.
  • Code, submit for approval on Oracle PO’s, invoices, and follow up on payments.
  • Manage, procure, and follow through on larger Maintenance & Repairs.
  • Provide guidance to branches with smaller repairs and maintenance (e.g., duct cleaning, lock changes).
  • Manage Capex Budget submission, tracking, and reporting.
  • Fulfill and follow up on ergonomic assessments.
  • Procure commercial system furniture and task chairs as per national standard.
  • Communicate National Standards (Clean Desk Policy, Furniture, Construction, etc.) to Project Sites.
  • Review facilities-related contracts, terminate where economically feasible, make recommendations, and negotiate to standards.
  • Manage in-office and off-site storage and/or sq. footage reduction (scanning, shredding, realignments).
  • Assist and serve as backup for Lease Admin for utility changeovers with suppliers.
  • Conduct in-person walk-throughs with property managers and/or landlords when handing back sites.
  • Procure and manage installation of alarm and security for facilities, including contracts and maintenance.
  • Other duties as assigned.
