We are looking for a proven Project Manager to support a high-profile client heavily invested in the rapidly growing world of women’s sports sponsorships and brand experiences. This role will help manage with planning and executing exciting consumer experiences across multiple programs, partnerships and talent. This position will work with both internal and external partners and clients to oversee the development and execution of brand experiences throughout the year. We need an experienced project management guru—someone who sweats the details, oversees our agency processes, protects the work and ensures nothing falls through the cracks. As the team lead's right hand, you will be a trusted operational co-pilot. While your foundation is built on flawless execution and deep collaboration with internal teams, vendors, and agency partners, you also possess the presence and confidence to step up, command a room, and lead client meetings and conversations when called upon. Industry Knowledge for this role is required. Experience navigating the logistical nuances of live events, sports sponsorships, or stadium/venue activations. Passion for the women’s sports landscape is highly valued.

Requirements

  • 10+ years of project management experience in the exhibit, trade show, or events industry
  • A bachelor's degree or equivalent combination of education and relevant experience
  • Strong command of project management methodologies, budgeting, and scheduling
  • Excellent communication, negotiation, and relationship management skills
  • Proficiency with project management software and ERP systems (MS Dynamics experience a plus)
  • Ability to read and interpret technical drawings and blueprints

Responsibilities

  • Own the creation, oversight, updates and enforcement of master project schedule and budgets, ensuring every milestone is met and anticipate when pivots may be needed
  • Effectively manage multiple or complex projects and budgets simultaneously through entire life cycle; hold regular team meetings, manage meeting notes and distribution and manage communications between team members, ensuring all deadlines are met
  • Ensure projects are delivered on brand, on strategy and on budget
  • Possess the ability to think proactively and critically and be able take initiative as required
  • Assist in/gain exposure to negotiations with stakeholders and vendors for the brand’s top/high profile properties
  • Maintain a highly professional, client-facing presence, building trust through transparent communication, work knowledge and expertise in your role
  • Step in as the authoritative voice of the project; confidently lead status meetings, navigate client curveballs, and make the difficult calls on the ground when needed
  • Demonstrate an understanding of clients’ business and program goals
  • Promote a culture of trust, respect, and transparency with the client, and be able to think through challenges and manage client expectations

  • Act as the strategic right hand to JM client lead, translating big-picture vision into executable project plans and managing day-to-day operations seamlessly
  • Take ownership of the project management process through the life cycle of the project to ensure the entire team are engaged with the process and it is being followed and tracked
  • Shadows and supports leadership on contractual process for new programs (IMPACT), may own the process in some cases
  • Develop and manage all creative deliverables and timelines, including updates when needed. Frequent communication is critical.
  • Recognize when tasks within the process are outdated; create / adapt templates to fit project-specific requirements clearly and concisely
  • Establish and guide appropriate processes for team and client collaboration to achieve business success on behalf of the client
  • Fosters positive overall team dynamic while managing workflow of initiatives from start to finish
  • Starts to act as subject matter expert on best practices on full brand/client of responsibility
  • Build and maintain strong, mutually respectful relationships with vendors, client partners and external agency partners to ensure seamless, unified execution through clear and regular communications, timelines and clear
  • Managing end-to-end project lifecycles across trade shows, exhibitions, and events — from design and production through installation, show-site management, and wrap-up
  • Building and maintaining comprehensive project timelines, ensuring deadline compliance and scope alignment throughout execution
  • Developing and managing project budgets, allocating internal resources, and overseeing vendor relationships efficiently
  • Serving as the primary operational point of contact for internal teams including Client Services, Account Management, and Operations — managing expectations and delivering consistent updates
  • Directing project teams, managing production deliverables, and upholding quality standards; mentoring and developing junior project management staff
  • Sourcing and managing third-party contractors, vendors, and transportation to ensure seamless event delivery, including all show services and I&D
  • Identifying risks proactively, developing contingency plans, and problem-solving to keep projects on track
  • Reviewing technical drawings, understanding trade show construction methods, and ensuring compliance with safety regulations
  • Adhering to Jack Morton processes and systems, using project management platforms to communicate clearly across operational departments
  • Compiling and reconciling final project costs — labor, materials, vendor expenses, service fees — and reporting variances to support accurate invoicing
