About The Position

The Project Manager demonstrates leadership in supporting, coordinating, and facilitating clinical disciplines, Access-related implementation efforts, and other programs under the supervision of the Assistant Vice President, Clinical Services (AVP). The incumbent will initiate, lead, and execute innovative administrative and evaluation projects/tasks related to program design, development, and process efficiency, and will support seamless communication and implementation of action plans by leading efforts to collect, track, and input data; create data reports; ensure data integrity; coordinate data needs; develop data systems and processes; and provide data in requested formats. Responsibilities include maintaining and updating departmental information; assisting with the recruitment and onboarding processes within the department; creating, uploading, and tracking revised departmental forms; collecting, analyzing, and evaluating data; and assisting and acquiring information necessary for departmental meetings and initiatives. Additionally, this position provides assistance and administrative support for the AVP, including participation in project development and implementation, and support for the management of services. The incumbent directly supervises the Manager, Care Center Operations to ensure that all care center and administrative activities (such as Workspace activities, time keeping records, and clinical and clerical equipment needs) are completed efficiently, accurately, and in a timely manner.

Requirements

  • Must have at least three (3) years of progressively responsible administrative experience, preferably in research, social services, or medical setting.
  • Bachelor’s degree is required.

Nice To Haves

  • Project Management Professional (PMP) or other relevant project management certification is preferred.
  • Previous experience working in a public health, healthcare clinical or administrative/operations environment is preferred.
  • Master’s degree in business administration, public health, communications, administrative studies, social services, research administration, healthcare administration is preferred.

Responsibilities

  • Provide supervision of assigned staff, including pay training, pay determination, performance management, completion of performance appraisals, delegation of duties, and progressive discipline.
  • Provide oversight, support, coordination, and facilitation to care center management serving the clinical disciplines and programs under the supervision of the Assistant Vice President, Clinical Services.
  • Assist in the development of systems and operating procedures in coordination with Directors and clinical leadership for input, organization, and maintenance of department data.
  • Collaborate with clinical leadership in development and optimization of administrative systems to include, but not be limited to, business process, workflow, and standard operating procedures that will improve operating efficiencies, increase productivity, increase revenue, improve patient services, and better support clinic operations.
  • Collaborate with clinical leadership in the development and optimization of performance management functions and systems to ensure appropriate and necessary trainings, resources, and access for care center and administrative support staff.
  • Assist with the design, development, and implementation standards for operations to include, but not be limited to, analyzing staffing resources, allocating resources accordingly, and utilizing resources in a manner that is fiscally responsible to ensure that the clinical programs are properly staffed, and faculty and medical staff are receiving appropriate levels of support.
  • Measure results of operational procedures against departmental standards and make necessary adjustments.
  • Collaborate with directors and clinical leadership to assist in the management of daily clinical operations and support for clinicians in order to ensure quality patient care and address patient concerns that arise within the clinic.
  • Collaborate with directors and clinical leadership to make recommendations for implementation of new roles within the department to centralize aspects of clinical operations specific to insurance and scheduling initiatives.
  • Collaborate with directors and clinical leadership to provide oversight and coordination of program evaluation, treatment integrity, and performance improvement projects.
  • Collaborate with the Project Manager, Quality Improvement and act as co-lead for relevant focus groups.
  • Collaborate with clinical department directors and other staff to prepare data for inclusion in documents such as progress reports, Institute communications, grant proposals, academic manuscripts, and funding agencies reports.
  • Analyze operational trends and make recommendations for proper adjustments in the schedule templates to assure solvency. Assist with implementation of solutions after collaboration with departmental medical management.
  • Attend and actively participate in staff meetings, financial review meetings, and administrative management meetings.
  • Provide administrative support to Assistant Vice President, Clinical Services as needed, to include taking and disseminating meeting minutes as directed.
