About The Position

We’re looking for a highly organized and detail-oriented Project Manager Assistant to support our Project Management team. In this role, you’ll handle office administration, keep project documentation on track, and make sure communication flows smoothly between all parties involved. You’ll play a key part in ensuring our restoration projects run efficiently from start to finish.

Requirements

  • Previous experience in office administration or project coordination (restoration, construction, or insurance industry experience is an asset).
  • Highschool Diploma/GED;
  • Proficiency in Microsoft Office Suite and Google Suite;
  • Strong organizational skills with the ability to prioritize a diversified workload and meet deadlines in a fast-paced environment.
  • Ability to work independently as well as collaboratively within a team.
  • Attention to detail and a keen sense of safeguarding other people’s property and information;
  • Understanding of customer service principles and practices;
  • Excellent written and verbal communication skills with a high level of professionalism.

Nice To Haves

  • 1+ years prior office experience;
  • Experience in the construction, insurance or restoration industry;
  • Proficiency in Xactimate and/or XactAnalysis.
  • Valid driver’s license and ability to operate a motor vehicle per BELFOR’s Auto Policy.

Responsibilities

  • Support Project Managers through the full project cycle—from setup to closeout.
  • Prepare, review, and upload project documentation (authorizations, certificates, scopes of work, budgets, estimates, etc.).
  • Keep communication clear and consistent with clients, vendors, insurers, and Team Members.
  • Track project progress, schedules, and changes; maintain organized and accurate records.
  • Draft and edit correspondence such as letters, memos, reports, and emails.
  • Assist with invoicing, ensuring accuracy and compliance with client requirements.
  • Organize files and submit final project documentation packages.
  • Support health & safety procedures, reporting, and documentation.
  • Any other reasonable duties as assigned.
