Requirements

  • Strong organizational and time management skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Excel, Word, Outlook, and document tracking tools.
  • Familiarity with engineering drawings and documentation workflows.
  • Proactive, organized, and assertive — able to diplomatically “keep the pressure on” for timely responses.
  • Strong sense of accountability and ownership of deliverables.
  • Team-oriented with the ability to coordinate across multiple engineering disciplines.
  • Comfortable navigating technical documents, drawing packages, and submittal systems.

  • Previous experience in an engineering, shipbuilding, or industrial project environment preferred.

Responsibilities

  • Submittal Management Track submission status, review cycles, and due dates for responses, revisions, and approvals. Ensure proper document control practices — correct revision numbers, transmittal forms, drawing titles, and filenames in accordance with ESG’s engineering standards. Coordinate with discipline leads (Hull, Piping, Electrical, HVAC, Outfit, etc.) to ensure timely preparation of submittal packages aligned with project milestones and engineering lots.
  • Quality Assurance (Pre-Submittal Review) Review drawing packages before transmittal to confirm: Consistency with submittal standards and cover sheet formatting. Proper inclusion of drawing lists, revision blocks, and signature fields. Correct classification society and client references on title blocks. Identify discrepancies, missing information, or formatting issues and work with the responsible engineers to resolve before final submission.
  • Comment Tracking & Coordination Maintain a Comment Tracking Log for all feedback received from Clients, ABS, and USCG. Log, categorize, and distribute comments to the appropriate discipline leads. Follow up with responsible engineers to provide timely responses and revised drawings in accordance with project schedules. Track status of comment responses until all items are formally resolved and closed. Support engineering management in preparing comment summary reports for coordination meetings with Clients, ABS, and USCG.
  • Communication & Reporting Provide weekly updates to the Engineering Management team on submittal progress, pending responses, and upcoming due dates. Coordinate with document control to ensure all submittals and approvals are properly archived in the project server. Prepare concise reports summarizing submittal activity and outstanding issues for internal and client-facing meetings.
